POSITION SUMMARY: This position is responsible for providing administrative support to the community association practice group’s legal assistants, paralegals, and attorneys.

Duties/Responsibilities:

  • Prepare conflict information for submission to Conflicts Department.
  • Draft retainer agreements for final review.
  • Manage file organization, including opening and closing files, in accordance with departmental policies and procedures.
  • Enter and update client contact information in Interaction database
  • Provide general clerical and secretarial support as needed, including assembling packages and correspondence.
  • Screen and route telephone calls to the appropriate personnel.
  • Assist with month-end billing processes.
  • Serve as the liaison between the regional office and the marketing department, coordinating and representing the firm at events such as seminars, trade shows, workshops, and webinars.
  • Performs other duties as assigned.

 

Required Skills/Abilities:

  • Strong verbal and written communication skills.
  • Exceptional interpersonal and customer service abilities.
  • Highly organized with strong attention to detail.
  • Excellent time management skills, with a proven ability to meet deadlines.
  • Ability to efficiently organize files and manage workflow.
  • Proficiency in Microsoft Office Suite or similar software.
  • Familiarity with iManage, FileSite, and Aderant preferred.

Education and Experience:

  • High School Diploma required; Associate degree preferred.
  • A minimum of two years related experience in a law firm of corporate legal department environment required.
