This role provides the opportunity to assist families after someone passes away to handle the estate assets and distribution of assets according to their will. 

Responsibilities: 

  • Review client files to prepare Final Accounts and related correspondence and documentation 

  • Prepare and file probate petitions and other necessary court documents. 

  • Systematically collect, organize, and manage information gathering regarding the decedent’s assets, liabilities, and beneficiaries. 

  • Communicate with clients via email and phone, maintaining detailed digital records of all interactions 

  • Ensure compliance with deadlines and procedural requirements for court and tax filings 

  • Track case status and keep time records in the database 

  • Provide updates and maintain task visibility through internal digital task management and databases 

  • Accurately research records online and at courthouse, including researching deeds 

  • Prepare and proofread correspondence  

  • Ensure strict confidentiality in handling sensitive client and firm information 

  • Manage multiple cases and deadlines in a fast-paced environment 

  • Other duties as assigned by the attorney or supervisor 

Qualifications: 

  • 1–5 years of experience in Estate Administration preferred 

  • 1-2 years' experience in banking, finance, accounting or related field preferred. 

  • Associate or bachelor's degree in related field. 

  • Confident with technology and working primarily in digital format 

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint), with strong experience using cloud-based documents (OneDrive) and legal research databases 

  • Exceptional written and verbal communication skills 

  • Strong organizational skills and the ability to manage multiple tasks efficiently 

  • Natural inclination to follow systems and processes 

  • A professional demeanor with a focus on excellent client service 

  • High attention to detail and the ability to ensure the accuracy of every document 

  • Self-motivated and capable of working independently while contributing to a collaborative team
