
Litigation Workflow Coordinator
Dickinson Wright Professional Staff See More Job Openings by This EmployerSummary: Staff designated at Dickinson Wright PLLC (“the Firm”) as a Litigation Workflow Administrator performs a variety of secretarial duties for attorneys throughout the Firm, on a part-time basis. The Workflow Administrator also manages the litigation workflow in the afternoon to ensure all tasks have been prioritized and completed by one of the legal assistants in the workflow group by the due date assigned.
Essential Duties and Responsibilities:
Essential duties and responsibilities of staff designated as Litigation Workflow Administrator at the Firm include but are not limited to:
- Support attorneys and other staff members by performing an administrative role and handling detail-oriented and critical tasks;
- Draft correspondence, memoranda and other legal documents;
- Communicate with attorneys and clients;
- Assist with processing bills and editing proformas;
- Maintain attorneys’ calendars by scheduling conferences, teleconferences, depositions, and travel;
- Manage the e-filing of documents in a timely manner. Research local court rules if e-filing needs to be done outside of local jurisdiction;
- Communicate with attorneys as to the status of delegated tasks if not completed the same day;
- Maintain constant oversight of the BigHand workflow software;
- Review all tasks in the BigHand queue, review and assign due dates to tasks, locate assistance for urgent tasks and complete unclaimed tasks as required; and
- Ensure all tasks in the workflow queue are locked down before signing off at the end of each day.
Qualifications, Skills and Abilities Required:
Litigation Workflow Administrators must:
- Possess the ability to read and write in order to proofread typed material for grammatical, typographical or spelling errors;
- Perform non-complex arithmetic calculations when verifying calculations on forms and documents at a level normally acquired through completion of high school or equivalent;
- Have at least five years of on the job experience in order to be proficient in producing legal documents with minimal supervision;
- Possess the ability to transcribe legal documents, correspondence and reports from rough draft, or transcription at a level of 70 wpm;
- Possess the ability to organize and prioritize numerous tasks and complete them under time constraints;
- Possess interpersonal skills necessary in order to communicate and follow instructions effectively from a diverse group attorneys and staff and provide information with ordinary courtesy and tact;
- Possess the ability to organize and prioritize numerous tasks and distribute work to ensure completion under prescribed constraints;
- Work occasionally requires a high level of mental effort and strain while producing a high volume of information performing other essential duties;
- Work may occasionally require working beyond the regular stop time or irregular hours.
Working Conditions:
Normal law office environment with little exposure to noise, dust, temperature.
