
The Legal Services office of the Judicial Council of California provides quality, timely, and ethical legal advice and services to the Supreme Court, Courts of Appeal, trial courts, Judicial Council, and the council’s advisory bodies and staff.
The principal duties that the Administrative Coordinator will perform include: (1) providing specialized administrative support and coordination activities for the advisory bodies staffed by the Rules and Projects Unit (RPU), including the Appellate, Civil and Small Claims, and Civil Jury Instructions Advisory Committees and their subcommittees, and backup support and coordination for the Rules Committee, an internal committee of the council also staffed by RPU. The needed support includes: planning, coordinating, and scheduling meetings; handling meeting logistics for committee members and RPU staff; attending meetings; hosting remote and hybrid meetings; initiating and executing all tasks necessary for committee compliance with open meetings rule; preparation and posting of notices, agendas, and committee meeting materials; preparation of draft meeting minutes; monitoring committee budget and expenditures, etc.; (2) assisting in the development, maintenance, and updating of the California Rules of Court, the Judicial Council of California Civil Jury Instructions (CACI), and Judicial Council forms; (3) supporting the attorneys in RPU and other units to provide legal advice to the Judicial Council, advisory bodies, and the trial and appellate courts on a broad spectrum of court and judicial branch issues; (4) providing specialized administrative support to the RPU attorneys and others in the Legal Services office (LSO), as needed (for example, processing travel claims, scheduling meetings, preparing budgets, etc.); and (5) providing assistance in tracking, analyzing, and reporting on LSO work product to help ensure that LSO work product is provided in an efficient and timely manner.
The Judicial Council
The Judicial Council of California is the policy setting body for the state court system and has constitutionally conferred statewide rule-making authority. This authority includes developing, advocating for, and allocating the judicial branch budget. A majority of Council members are California state justices and judges; however, the Council also includes lawyers, legislators, and court administrators.

As a government body charged with improving the statewide administration of justice, the Judicial Council has multiple offices with diverse responsibilities relating to court policy and operations. • Provides specialized administrative support and coordination activities for the advisory bodies staffed by RPU attorneys, including the Appellate, Civil and Small Claims, and Civil Jury Instructions Advisory Committees, their subcommittees, and other bodies staffed or assisted by RPU, including the Rules Committee.
• Schedules meetings; prepares meeting notices and agendas in compliance with open meetings rule (rule 10.75).
• Transmits meeting materials and other information to advisory body members.
• Attends meetings and hosts remote or hybrid meetings.
• Assists in the development, maintenance, and updating of the California Rules of Court, the Judicial Council of California Civil Jury Instructions (CACI), and Judicial Council forms.
• Assists attorneys on rules work, including preparation of materials (draft rules, memoranda, invitations to comment, reports, comment charts, meeting binders, etc.) for advisory bodies, their subcommittees, and the Judicial Council; assures conformance with Judicial Council templates and style.
• Supports attorneys in RPU and other units who provide legal advice to the Judicial Council, advisory bodies, and the trial and appellate courts on a broad spectrum of court and judicial branch issues.
• Provides assistance in preparing, storing, searching for, retrieving, and distributing Judicial Council rules, forms, and reports.
• Provides general administrative support to RPU attorneys and others in LSO.
• Processes travel clams.
• Prepares budget and other financial information as requested.
• Collects and distributes other information.
• Assists attorneys to track, analyze, and report on work product to help ensure that LSO office work product is provided in a timely and efficient manner.
• Performs other general and specialized administrative duties as assigned, including assisting attorneys and other staff on projects and programs.
Other Duties and Responsibilities
• Attends unit and office staff meetings as scheduled.
• Attends training and educational session as needed.
- $5,760 - $8,063/month
Three (3) years of administrative support experience including some experience in area(s) of assignment (such as accounting, writing/editing, database/spreadsheets, direct support to upper
management, etc.).
OR
Associate’s degree, preferably in area(s) of assignment, and one (1) year of administrative support experience including some experience in area(s) of assignment (such as accounting, writing/editing, database/spreadsheets, direct support to upper management, etc.). Additional directly related experience and/or education may be substituted on a year-for-year basis.
OR
One year as an Administrative Specialist, Facilities Specialist, or Fiscal Services Specialist with the Judicial Council of California or one year of experience performing the duties of a class comparable in the level of responsibility to that of an Administrative Specialist, Facilities Specialist, or Fiscal Services Specialist in a California Superior Court or California state-level government entity.
Desirable Qualifications:
• Familiarity with Microsoft Office Suite, Adobe products, and videoconferencing technologies, including Zoom and Microsoft Teams.
• A high level of knowledge and skill with computers, databases, and other technologies used for business purposes.
• Experience communicating directly with judges and court staff.
• Knowledge of, and experience with, Adobe Experience Manager or comparable software for creating functional and accessible forms
• Ability to communicate effectively orally and in writing.
• Ability to work well with judicial officers, court executives, and other professionals.
• Ability to maintain confidentiality and exercise tact and diplomacy.
• Experience editing documents including, but not limited to, reports, correspondence, and presentations; attention to detail, and ability to identify grammatical and typographical errors and make corrections in documents.
• Familiarity and experience with providing administrative support for meetings, including scheduling, budgeting, preparing notices and minutes, and handling expense claims.
