We are seeking a highly organized and detail-oriented Legal Secretary to join our Executive team. The Legal Secretary will provide comprehensive administrative and secretarial support to Senior Executives, ensuring the efficient operation of administrative processes and the timely completion of tasks. We are not a law firm.

Responsibilities:
- Prepare, format, and proofread legal documents, correspondence, and other materials with accuracy and attention to detail.
- Manage and maintain physical and electronic files, ensuring all documents are properly organized and easily accessible.
- Schedule and coordinate meetings, and travel arrangements for CEO.
- Answer and screen phone calls, direct inquiries, and take messages, maintaining a professional and courteous demeanor.
- Assist with all pre-litigation letters
- Process incoming and outgoing mail, and emails, distributing them to the appropriate individuals.
- Handle tracking expenses and prepare expense reports.
- Liaise with clients, confidentiality and professionalism.
- Maintain calendars and deadlines, providing timely reminders and ensuring all critical dates are met.
- Perform general administrative duties such as photocopying, scanning, and data entry.
- Assist in the preparation of presentations and reports as needed.
- Proven experience as a legal secretary or in a similar administrative role within a legal environment.
- Strong proficiency in legal terminology.
- Excellent written and verbal communication skills.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Exceptional organizational skills and the ability to manage multiple tasks and priorities effectively.
- High level of accuracy and attention to detail.
- Ability to maintain strict confidentiality of sensitive information.
- Strong interpersonal skills and the ability to work collaboratively in a team environment.
- Ability to work independently with minimal supervision.
- Knowledge of e-filing procedures is a plus.
- A proactive attitude and the ability to anticipate CEO's needs.
