Job Description Summary

The Legal Operations Manager serves as the primary operational partner and second in command to the Head of Legal Operations, responsible for executing the day to day operations of the Legal Department and supporting overall operational leadership. This role plays a critical part in ensuring the department operates efficiently, with strong financial discipline, data integrity, and process consistency, and serves as a point of escalation for day to day operational issues, acting on behalf of the Head of Legal Operations as needed.

The position focuses on hands on execution across key Legal Operations functions, including reporting and analytics support, legal spend oversight, supplier and vendor management, and workflow coordination. The Legal Operations Manager works closely with the Business Analyst and eBilling Specialist to support reporting processes, oversee billing controls and approvals, and maintain accurate and reliable operational data.

Operating within a lean and highly collaborative team, this role requires broad cross functional knowledge and the ability to manage and prioritize multiple concurrent workstreams. These include reporting, billing oversight, vendor governance, and intake and prioritization of Legal Operations requests. The Legal Operations Manager is expected to support high-volume operational processes while identifying opportunities for improvement and increased efficiency.

Job Description

Responsibilities:

  • Partner with the Business Analyst to support monthly reporting, including tracking key metrics (legal spend, vendor performance, workflow efficiency, and SLAs) and delivering dashboards and insights to leadership.
  • Ensure data accuracy and integrity across Legal systems and reports through validation, reconciliation, and adherence to data governance standards; support reporting needs as required.
  • Support legal spend management, including enforcement of billing guidelines, accrual tracking, and coordination with Finance and the eBilling Specialist to ensure accurate reporting and financial controls.
  • Serve as a liaison between Legal, Finance, and vendors on billing and financial matters, resolving issues and escalating complex discrepancies as needed.
  • Manage supplier onboarding, performance monitoring, and coordination with Procurement and Accounts Payable, including tracking vendor documentation, compliance requirements, and renewals.
  • Support execution of Supplier Risk Management processes within Legal, monitoring vendor performance and identifying risks or improvement opportunities.
  • Manage high-volume operational workflows, including intake, approvals, reporting processes, and vendor coordination, ensuring accuracy, timeliness, and consistency.
  • Execute operational initiatives and process improvements aligned with Legal Operations strategy, enhancing efficiency and scalability.
  • Support and optimize legal technology platforms (e.g., e-billing, matter management, DMS, CLM), including system configuration, data integrity, and user adoption.
  • Provide cross-functional support within a lean Legal Operations team, maintaining knowledge across reporting, billing, and vendor processes and partnering with Legal, Finance, IT, and Procurement.
  • Support the Head of Legal Operations by managing day-to-day execution and providing decision support across Legal Operations activities.

Knowledge, Skills, and Abilities

  • Strong knowledge of legal operations functions, including legal technology, spend management, knowledge management, and process improvement.
  • Demonstrated ability to manage multiple priorities independently in a fast-paced environment.
  • Strong analytical, organizational, problem-solving skills and project management skills.
  • Ability to communicate clearly and effectively with legal team members, business partners, and suppliers.
  • High level of professionalism, discretion, and integrity when handling confidential,  sensitive, and privileged information.
  • Advanced knowledge of Excel, including pivot tables, vlookup, and conditional formatting.
  • Knowledge of reporting and analytical tools, including Qlik, Power BI, and Smartsheet a plus.

Education and Experience

  • Bachelor’s degree or equivalent combination of education and experience required.
  • Minimum of 5 years of relevant experience in a legal operations or a related legal or operational role.
  • Experience working with legal technology platforms (e-billing, matter management (Passport), document management (iManage), contract lifecycle management) and managing legal spend strongly preferred.
