Basic Function
The PA Office of Attorney General (OAG) is looking for a detail-oriented administrative professional to join the Criminal Prosecutions Section in Philadelphia. The Criminal Prosecutions Section investigates and prosecutes various crimes including, but not limited to, an alleged violation of the laws of the Commonwealth occurring within a public transportation authority that serves as the primary provider of public passenger transportation in a county of the first class (Philadelphia). The Legal Assistant coordinates the work of and supports the attorneys within the Criminal Prosecutions Section.
The work performed in this position is of moderate complexity and scope. The position is responsible for supporting attorneys in the processing of legal documents required through all stages of a criminal case. This includes data entry for new cases, filing of criminal informations/documents, obtaining discovery, organizing and redacting documentary evidence, tracking statistics related to cases handled by the section, assisting in preparing cases for trial, making travel arrangements, and closing case files upon completion.
The Legal Assistant will be expected to work with considerable independence, subject to the direction of an attorney who reviews the work for timeliness and accuracy. The position will often involve handling sensitive and confidential matters. The successful candidate must be self-motivated and able to identify issues and come to reasonable resolutions.- Examples Of Duties
- Types documents from handwritten draft, from either oral or taped dictation, or from original source documents into draft or final form
- Proofreads documents and correspondence to ensure that information is grammatically correct, complete, and consistent and adheres to agency rules and regulations
- Opens, maintains, closes, and archives cases
- Electronically files documents in all Pennsylvania and federal courts
- Assists with the pickup and delivery of legal documents from/to the appropriate court
- Inputs data into the appropriate computer systems and retrieves same when needed
- Makes travel arrangements for attorneys and/or subpoenaed witnesses
- Processes all incoming mail properly and efficiently
- Drafts correspondence
- Creates standard pleadings and documents segments using templates
- Prints, scans, and copies documents
- Schedules depositions, obtains court reporters, and secures conference rooms
- Provides front desk assistance and greets guests
- Operates a desktop computer, scanner, and printer
- Operates a copier and sends faxes
- Performs other duties as required
- Minimum Experience and Training
- Three years of responsible clerical, enforcement, or investigative work OR
- Any equivalent combination of experience and training
- Preferred Knowledge, Skills, and Abilities
- Proficiency in basic computer systems including Outlook, Word, and Excel
