- This position is advertised from the minimum to the mid-point hourly rate. Salary will be determined based on education and experience at the time of offer.
NATURE OF WORK
Under minimal supervision, performs paraprofessional work of moderate difficulty in a variety of legal secretarial and office duties; this position has department specific responsibility. - Nature of Work
- (Illustrative Only) Formats and types letters, memoranda, and legal documents for the review, approval and use by an attorney; files documents with the appropriate court or entity; prepares and processes confidential and sensitive legal documents and correspondence; checks and completes legal records, forms and documents; assists in the preparation of statistical and financial reports of grant fund expenditures; may provide input for budget preparation; assist attorneys with the preparations for trials and hearing; responsible for opening and closing cases, prepare and complete disclosure and related case documents; follows up on cases to ensure timely progress; enters data into the computer or database; provides backup to administration when needed; may be required to make travel arrangements for witnesses and/or victims; provides disclosure information to attorneys; schedules appointments and meetings; maintains attorney and court calendars; transcribes meeting and interview notes and recordings; develops and maintains office records and files; sorts, indexes and retrieves forms, correspondence and documents; regular and reliable attendance is required; performs other duties as assigned.
- Experience and Education
High School Diploma or GED equivalent; AND three (3) years of progressively responsible experience as a legal secretary; OR four (4) years of progressively responsible experience in secretarial or office work; OR an equivalent combination of education and experience; Requires successful completion of a background check; Special Requirements: Litigation experience preferred.
- Knowledge, Skills and Abilities
Knowledge of: Legal principles and procedures; Arizona civil and criminal law and judicial procedures; legal terminology and forms; general office practices and procedures.
Skill in: Use use of the English language, including spelling, punctuation and grammar; creating and prioritizing work assignments to meet time constraints; preparation of documents and reports; operating various office equipment and word processing; creating and maintaining files; taking and recording notes; meeting and dealing effectively and tactfully with public; establishing and maintaining effective working relationships with employees, other agencies and the public; maintaining confidentiality; communicating clearly and concisely, both verbally and in writing.
Ability to: Effectively respond to phone calls, emails and complaints in a timely manner; plan, prioritizes, manages and responds to multiple assignments in a fast-paced environment; read, write, research, synthesizes data and detailed reports; use modern office equipment and computers; communicate effectively verbally and written; lift up to 5 – 25 lbs.; perform the essential functions of the job specifications with or without a reasonable accommodation.
Working Environment: The usual and customary methods of performing the job’s functions require the following physical demands: occasional lifting, carrying, pushing, and/or pulling; some stooping, kneeling, crouching, and/or crawling; and significant fine finger dexterity. Generally the job requires 60% sitting, 20% walking and 20% standing. Working at a computer monitor for extended periods required. The job is performed under minimal temperature variations and in a generally hazard free environment.
