Job Description

PRIMARY FUNCTION:

Join our dynamic team as a Real Estate Paralegal/Contract Administrator, where you will play a crucial role in supporting our business growth. In this position, you will review, draft, and negotiate various contracts for the Legal Department. Additionally, you will manage contracts and documents, assist lawyers with real estate transactions, prepare legal documents, conduct research, and ensure that processes run smoothly and comply with regulations. This role often involves working with external clients and other legal professionals.

This position is located in San Antonio, Texas.

ESSENTIAL JOB FUNCTIONS:

  • Assist attorneys with transaction documentation, organization, and obtaining Uniform Commercial Code filings.
  • Review title commitments, surveys, and zoning regulations; prepare title objection letters.
  • Draft and proofread initial closing documents, leases, and related agreements.
  • Coordinate and attend closings, ensuring the execution of documents and compliance with deadlines.
  • Communicate with title companies and summarize property service contracts and lease provisions.
  • Prepare and manage closing binders, follow up on documents, and troubleshoot issues.
  • Manage contracts and contract files, and prepare contract summaries, checklists, and form letters for the Legal Department (both physical and electronic). This includes conveyance agreements, easement agreements, rights of entry, deeds, licenses, leases, telecommunications agreements, rental agreements, quitclaims, default notices, purchase and sale agreements, confidentiality agreements, and other business agreements.
  • Assist with the management and closing of real estate and system acquisition projects. Coordinate and assist with entity and property information requests, real property valuations, real property searches, due diligence, and title reviews to support capital projects, system acquisitions, and the operation of existing facilities.
  • Review, prepare drafts, and negotiate agreements, such as standard amendments and non-disclosure agreements.
  • Prepare form contracts and letters and respond to requests in a timely manner.
  • Establish best practices for incoming contracts, renewals, and the evaluation of existing contractual terms.
  • Create spreadsheets, tables, and guidelines to facilitate proper information flow and increase process efficiency.
  • Implement standardization of contracts and integration of new business practices.
  • Identify the need for improvements and work with legal counsel to develop enhancements to contracting programs, policies, and procedures.
  • Track and coordinate real estate-related financial payments in collaboration with various departments.
  • Respond to real property information requests and conduct due diligence for mergers or acquisitions.
  • Coordinate the execution and dispatch of agreements, prepare intra-company communications required by SOX and other guidelines, and perform related administrative tasks.
  • Perform other similar duties as assigned.

MINIMUM QUALIFICATIONS:

  • Bachelor’s degree and/or equivalent relevant experience
  • Three years of experience as a Real Estate Paralegal and managing contract process from drafting to execution or equivalent experience in a law firm or legal department
  • Relevant work experience can substitute for education
  • Strong contract negotiation and experience preferred
  • Must be very detail-oriented with strong analytical and writing skills
  • Strong ability to multi-task in a fast-paced environment
  • Must be responsible, accountable, and result-driven
  • Excellent presentation and communication skills
  • Excellent organization and documentation skills (MS Word, Excel, and PowerPoint)
  • Valid Driver's License
  • Notary Public License required

WORK HOURS:

The work schedule is five days per week, with a minimum of 8 hours per day. Work hours are subject to change depending on operational conditions and needs.

WORK ENVIRONMENT: 

While performing the duties of this job, the employee works in an indoor controlled climate facility and may work at a desk.  The noise level in the work environment is typically low.

While performing the duties of this job, the Real Estate Paralegal/Contract Administrator is frequently required to use hands to finger, handle, grip, grasp, or feel objects and controls, including typing and operating a computer.  The employee is occasionally required to reach forward, upward, and downward with hands and arms.  The employee is constantly required to talk and converse one-to-one with supervisors and coworkers.  

A Real Estate Paralegal/Contract Administrator is occasionally required to walk around the office to access files and office-related equipment; sitting for extended periods is required; and is infrequently required to bend, squat, or kneel when performing work activities such as accessing files and documents.

A Real Estate Paralegal/Contract Administrator must infrequently lift up to 25 pounds when handling paperwork, receipts, and Company pamphlets and information.  Telephone use and specific vision abilities are required to operate a computer and read data from the screen.
