Job Description

Offit Kurman is seeking a Legal Administrative Assistant to provide comprehensive administrative and billable support to three Commercial Litigation attorneys in our Charlotte office. The ideal candidate will have full-cycle case timeline experience, including court filings, document preparation, discovery support, and calendar management for deadline-driven environments. Experience using NetDocs is essential. This role requires someone with exceptional attention to detail, a proactive mindset, and the ability to thrive in a fast-paced, high-performing litigation practice.

Responsibilities:

  • Serve court documents via mail or electronic methods and track service in accordance with court rules.

  • Proofread and review motions, briefs, and other court documents to ensure accuracy and compliance prior to filing.

  • Draft correspondence, memoranda, and client communications under attorney supervision.

  • Manage both electronic and physical files daily, ensuring accurate and timely organization throughout the case lifecycle.

  • Create and maintain hearing materials, casebooks, and briefing binders.

  • Maintain and monitor complex attorney calendars, including court dates, internal deadlines, meetings, and reminders, with precision and reliability.

  • Open, maintain, and close client files in accordance with firm and practice group procedures.

  • Handle direct communication with clients via phone, email, and in-person, maintaining professionalism and confidentiality.

  • Process attorney time entries, credit card reconciliations, and internal administrative procedures as required.

Requirements:

  • Proven experience in commercial litigation support is required; real estate litigation experience is a plus.

  • In-depth understanding of North Carolina and Federal Court rules and procedures.

  • Demonstrated proficiency in full-cycle case management—from intake to resolution—including filings, discovery, and trial preparation.

  • Strong experience with deadline tracking and high-volume calendar management in litigation settings.

  • Proficiency in NetDocs is vital; must be comfortable navigating document management systems.

  • Skilled in electronic and paper court filings, including e-filing platforms.

  • Experience supporting discovery processes and document production.

  • Highly organized, proactive, and detail-oriented, with strong proofreading and analytical skills.

  • Excellent written and verbal communication skills, including grammar and spelling.

  • Exceptional client service focus with the ability to build and maintain strong professional relationships.

  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint), Adobe, and internet-based research tools.

  • Ability to work independently while also being a strong team contributor.

  • Capable of managing multiple projects and adapting to shifting priorities in a fast-paced environment.

Qualifying Experience:

  • Bachelor’s degree or equivalent experience.

  • Minimum of 3+ years of experience in a legal administrative or litigation support role.

  • Strong familiarity with document management systems, case lifecycle procedures, and attorney time entry software.

Physical Requirements and Work Environment:

  • Prolonged periods of sitting and computer use; occasional standing, walking, and lifting up to 15 lbs.

  • Standard office environment with moderate noise levels.
