ABOUT THIS JOB

Position Specific Summary

The Senior Court Clerk position at the City of Tucson’s City Court Department is responsible for leading the preparation for initial appearance sessions, assisting as a judicial aid in the courtroom, managing warrant resolutions, and organizing docket calendars for various session types within the Judicial Services division.

Work is performed under the supervision of the Court Supervisor. This position leads and instructs the daily operational work of judicial service personnel.

Duties and Responsibilities

  • Maintains the Case Management System (CMS) by retrieving booking sheets and initiating cases, entering criminal and long form complaints, and inputting scheduled hearings. Prepares files for video review sessions and out-of-custody arraignments, ensuring accuracy by comparing paper and electronic files.
  • Promotes the effective processing of cases by quashing warrants, bond outs and pre and post release paper. Ensures defendant contact information is current on minute entries; and verifies the accuracy of updates and court orders.
  • Assists other agencies via e-mail, telephone, and fax, by providing information regarding active warrants and requests for clarification cases and communicates with law enforcement agencies. Provides information such as copies of court orders. Verifies possible in-custody status of defendants to the court and the public.
  • Provides courtroom support by coordinating interpreting services for initial appearance hearings. Responds to needs or issues of initial appearance court with security, administration and management. Sets up equipment and supplies to be used during courtroom sessions. Operates audio and visual equipment during hearings to maintain court records of virtual courtroom appearances. Oversees the appointment and removal of attorney assignments in the record and paperwork at the order of the judge.
  • Prepares, distributes, and finalizes the docket calendar for each session. Prepares and distributes minute entries on behalf of the judge and assists with case management updating during sessions.   • Leads and guides new clerks on the initial appearance team ensuring accurate training on tasks, workflows, and court procedures. Provides cross-training as needed.

  • Performs other tasks and duties as assigned.

Working Conditions

Mostly office environment.

Holidays and weekends required and is based on rotating work schedule; work hours: 5:00am to 1:00pm and/or 1:00 pm to 9:00 pm.

MINIMUM QUALIFICATIONS

Education: High school diploma or equivalent
Work Experience: One (1) year of directly related experience

PREFERRED QUALIFICATIONS:
Experience administrative support, customer service.
Competent experience and skill with the Arizona Judicial Automated Case System (AJACs)
Competent experience and skill with the Spillman Case Management System (CMS)
