Job Description

Position Title – Paralegal Trust Administration
FLSA Status – Non-Exempt
Position Summary: The Estate Planning & Trust Administration Paralegal provides comprehensive support to the Trust Administrator and CPA within the Estate Planning Group. This role is responsible for assisting with trust administration matters, estate settlement processes, fiduciary accounting coordination, and preparation of estate planning documents. The ideal candidate is detail-oriented, organized, and comfortable working with sensitive financial and legal information.
Essential Duties and Responsibilities:
  1. Assist the Trust Administrator with day-to-day trust administration tasks
  2. Prepare trust funding documentation and beneficiary correspondence
  3. Coordinate asset transfers and retitling of accounts
  4. Maintain trust administration checklists and timelines
  5. Communicate with financial institutions and beneficiaries as directed
  6. Gather financial records and tax-related documentation
  7. Assist with preparation and organization of materials for fiduciary income tax returns (Form 1041) and estate tax returns
  8. Coordinate with the CPA regarding asset valuations, income reporting, and distributions
  9. Maintain organized financial files for trusts and estates
  10. Assist with client correspondence and document execution processes
  11. Maintain electronic and physical client files
Knowledge, Skills and Abilities Required:
  1. Associate or bachelor’s degree preferred
  2. 2+ years of experience in estate planning, probate, or trust administration preferred
  3. Familiarity with fiduciary accounting principles is a plus
  4. Strong attention to detail and organizational skills
  5. Ability to manage multiple deadlines and priorities
  6. Excellent written and verbal communication skills
  7. Proficiency in Microsoft Office; experience with legal practice management software preferred
  8. Professional demeanor when interacting with clients and financial professionals
  9. Ability to work 9-hour daily schedule M-Th with ½ day on Fridays, overtime as needed, and maintain an acceptable level of attendance and punctuality.
