Position Summary: Our downtown Minneapolis, MN office is looking for an Administrative Assistant to join our team. This role will help to ensure efficient and productive processes and workflow by providing administrative support for various departments, committees, and personnel firmwide. Our ideal candidate will possess a positive attitude, friendly and outgoing personality, and a strong and reliable work ethic.
Responsibilities
Front Desk Representative
- Greet staff and vendors projecting a positive first impression of the Firm
- Answer calls and monitor voicemail inboxes (forward calls as appropriate)
- Maintain birthday and anniversary calendars and send acknowledgement emails as appropriate
- Liaison to building management for maintenance requests, loading dock reservations, and security badge creation
- Submit vendor service calls for the coffee, water, soda and snack machines
- Maintain conference room schedules
- Floor Safety Warden
Accounting Tasks
- Track vendor invoices
- Regular review and research of FedEx invoices
- Post client disbursements to Aderant on an as needed basis
- Monitor the accounts payable inbox
- Post client disbursements and forward pay directs
- Request and follow-up on invoice approval from Legal Administrative Assistants
- Review past due invoice statements and provide a summary to accounting
Additional Responsibilities
- Support “on campus interview” activities for the Firm including organization, registration, and calendaring.
- Occasional word processing
- Create and maintain Excel spreadsheets
Position Requirements:
- Positive approach and service-oriented attitude (“whatever it takes”) required
- Strong work ethic, organizational skills, and the ability to multi-task and anticipate needs
- Ability to work under pressure while exhibiting patience and common sense
- Ability to follow complex written and oral directions
- Strong computer skills including the use of Microsoft Office Suite and Adobe products
- Exceptional typing skills with strong attention to detail
- Well-developed oral and written communication skills
Education and Experience:
- High school or equivalent education required
- 3-5 years previous experience in a professional office setting required
Working Conditions:
- Professional working environment, full-time onsite opportunity
- Heavy computer use includes continuous and repetitive motion
- Frequent interruptions and interaction with attorneys, clients and staff
- Ability to work overtime, as needed, to meet deadlines
