Job Description

Dykema Gossett PLLC, a leading national law firm, is seeking to hire a Dental Services Organization/Medical Services Organization (DSO/MSO) Senior Event Coordinator in our Dallas, Texas office. The DSO/MSO Senior Event Coordinator will assist the DSO/MSO Event Manager and attorneys with various logistics surrounding industry events, including Dykema’s conference(s), by professionally representing the firm, executing setup and tear down of event booths, act as the point of contact for conference venues and vendors, shipping event materials, promotional items and assisting the attorneys with any onsite needs. This position will nurture a strong industry network, increase the awareness and foster the brand of the group by executing effective communication and client, sponsor, and vendor relations, and therefor requires a high degree of efficient communication, accuracy, attention to detail and customer service. The Senior Event Coordinator will work closely with the Event Coordinator, Marketing Support, and reports to the Event Manager and the DSO/MSO attorneys.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Primarily focus on the MSO and VSO business vertical by growing the firm’s presence at various events and increase brand recognition as a leading firm through speaking appearances, article authorship, etc. Senior Event Coordinator will support DSO as needed.
  • Travel to and attend numerous industry conferences each year; as the “face of the firm”; promote the firm and our annual conference(s).
  • Serve as a liaison to all current and future conference sponsors, including leading sales efforts.
  • Greet clients/ potential clients; record contact information and provide to attorneys for potential representation and other follow-up; maintain contact with potential clients and potential conference attendees.
  • Make suggestions to DSO/MSO attorneys for meetings at conferences with potential partners and/or clients.
  • Coordinate transportation, schedules, client dinners, and other logistics for attorneys while onsite at an event.
  • Reconcile event credit card charges and invoices on a timely basis.
  • Conduct pre and post event evaluations and report on outcomes; propose ideas to the Event Manager for ways to improve provided services and event quality.
  • Assist in posting and promoting events on LinkedIn.
  • Prepare speaking rooms prior to attorney arrival by ensuring equipment and room is setup properly.
  • Conduct market research, identify opportunities for partnerships, sponsorship, advertising and events on an ongoing basis and generate interest to build business with top prospects.
  • Assist in coordination of all aspects of Dykema’s conference(s) in a supporting role to the Event Manager and team.
  • Exercise independent judgement in determining priority levels of all work assigned on a daily basis; assure that high priority items are completed in a timely manner.
  • Perform duties and other responsibilities/tasks as requested/assigned by the DSO/MSO Group and Event Manager.

 

SPECIALIZED JOB FUNCTIONS

  • Frequent travel (up to 50%) required for site inspections and to special events/outings/conferences.
  • Reliability and ability to work hours outside of and beyond “typical” work day. Some evenings and weekends pertaining to out of town travel are required.
  • Ability to pack, lift, transport and setup materials needed for events, including equipment, signage, marketing materials, etc.; which may weigh 25 pounds.

 

KNOWLEDGE, SKILLS AND ABILITIES REQUIRED

  • Minimum of 2 years related experience in the events industry.
  • Bachelor’s Degree in related area preferred; or comparable level of training such as that which may be acquired through additional work experience.
  • This role communicates with client, vendors, firm management, and attorneys and therefore requires high degree of sophisticated communications, accuracy in all deliverables and customer service.
  • High level of attention to detail and strong organizational skills.
  • Communications must be concise, professional and accurate.
  • Ability to prioritize and balance coordination of multiple events.
  • A strong team orientation and a willingness to “roll up your sleeves” and operate at whatever level is needed to accomplish tasks.
  • Demonstrate good judgment, tact and flexibility under pressure in a mixed-matrix environment with many stakeholders and potentially competing priorities.
  • Collaborate, influence and communicate effectively with individuals at all levels of the firm.
  • Proficiency on LinkedIn, Microsoft Outlook and Word, working knowledge of Excel and PowerPoint, CVENT software preferred.
