We are seeking a highly organized and detail-oriented individual to join our Legal Administration team, specifically focusing on global Outside Counsel Expense Management. The ideal candidate will play a crucial role in overseeing the end-to-end billing processes, and interfacing with our top law firms. At times, the role will require you to navigate and problem solve with multiple teams and interested parties, bearing in mind timelines and a senior audience
Key Responsibilities:
- Support the outside counsel expense management process end-to-end, including budget setting, invoice processing, and approvals.
- Ensure compliance with expense management and invoicing policies and procedures.
- Serve as escalation point for in-house attorneys and the firmwide payment processing team for any invoice processing issues.
- Work closely with the legal engineering team on system issues impacting the invoicing and payment processes.
- Regularly meet with top law firms to provide status updates on accounts receivable.
- Follow up on pending invoice approvals with in-house attorneys and other departments across the firm.
- Identify process improvements and opportunities for efficiency and automation.
Required Qualifications and Skills:
- Bachelor's degree
- Proven experience in legal billing or a similar role.
- Strong organizational and time management skills.
- Excellent attention to detail and accuracy.
- Proficiency in Microsoft Office Suite, particularly Excel.
- Strong communication and interpersonal skills.
- Ability to effectively interact with individuals across all levels of an organization.
- Exceptional analytical, problem solving, critical thinking and project management skills with a proven track record of execution against deadlines
- Demonstrate resiliency and creativity when under pressure and when managing time-sensitive demands from competing stakeholders
- Experience in delivering high quality work products, reflecting attention to detail and analytical prowess
- Work independently and exercise strong judgment when executing an assigned task
- Multi-task and have the ability to manage and advance multiple projects simultaneously
- Identify and effectively escalate potential issues to appropriate person(s)
Preferred Qualifications and Skills:
- Experience working in a legal environment.
- Familiarity with legal billing software and tools.
