The Probate Real Estate Assistant is responsible for supporting and assisting the Probate and Real Estate Departments as the attorneys execute the probate process and residential real property sales transactions. Prior experience in probate law or a title company is required.
In Office role, Monday through Friday in Largo, FL.

We have a very busy, growing law firm and we need someone who is grace under pressure and who is great working in a team setting but also alone.
This position is responsible for supporting the attorneys with residential Real Estate transactions and managing Probate and Trust Estate cases under the supervision of the department head; intake set up, prepare, organize, and retain legal documents, agreements, pleadings, and accounting related to trust and probate estate administration, estate accountings, and trust including electronic filing. Deal closely with our clients who are in crisis, requiring our direction, patience, kindness, and understanding.

Job Details
- Drive Probate and Real Estate files to meet timelines and billing milestones.
- Prepare court pleadings, letters and other documents for the probate and trust settlement process. Strong understanding of FL court procedures to include probate.
- Open, process and maintain probate and real estate files in an orderly fashion, update office databases and archive files.
- Assist clients upon arrival for appointments, and address phone calls, emails and in person communications with clients and third parties appropriately.
- Order, review title searches and title commitments. Prepare and gather required documents to satisfy title requirements.
- Prepare contracts for sale; Prepare documents for closings and other real estate transactions; Record recordable instruments and deliver title policy and other paperwork to appropriate parties, either by mail or in person.
- Prepare 1099’s at year end and submit electronically to IRS. Track and complete title insurance commissions.
- Attend Probate and Real Estate educational seminars.
- Prepare and type letters and other general correspondence for attorneys as needed.

- Advanced Adobe Acrobat Educational/Job Experience Requirements:
- Client experience and customer service a priority
- Ability to move and access file storage boxes.
Requirements
- High school diploma from an accredited institution
- Professional experience (3+ Years Required)
- Real Estate Title and Closings experience (Preferred)
- Paralegal Degree/Certificate, is a plus.
- Experience with Microsoft programs including Word, Excel, Access, Dynamics, and SharePoint
- Ability to do internet research and search public records
