POSITION SUMMARY:
The Legal Team Assistant is responsible for performing a variety of clerical duties as a part of the support staff. This role will be responsible for handling the documentation traffic for specific client sites and working with support staff members with other projects and routine clerical tasks. The Legal Team Assistant requires a high level of attention to detail, editing skills, and the ability to multi-task.
SPECIFIC JOB DUTIES:
- Follow explicit instructions for the uploading of any and all documents to client extranet
- Perform other duties as required related to client extranet, for example, updating applications records
- Handle client-related correspondence as instructed, including drafting and editing letters/e-mails, proofreading and sending finalized correspondence and documents to the client
- Finalize, process, and send issued patent documents following attorney/client/firm requirements
- Assist with time entry in firm billing system
- Process new matter request and change forms
- Prepare basic documents for legal administrative assistant review; process as required
- Prepare and submit expense reports, including creation of Interaction reports based on attorney preference
- Assist legal administrative assistants with other tasks as required, such as preparing client reports, spreadsheets, or word processing projects
KNOWLEDGE, SKILLS AND ABILITIES:
- High school diploma or general education degree
- Minimum 1-year of administrative experience; preferably in a law firm
- Knowledge of Microsoft Office Suite (Word, Excel, and PowerPoint)
- Superior attention to detail, problem-solving capabilities, and strong organizational skills
- Effective verbal and written communication skills with individuals in all levels of the firm
- Ability to maintain a high level of accuracy/low percentage of errors
- Ability to adapt and accept changes in job responsibilities based on the strategic goals of the firm
- Ability to exhibit sound judgment, maintain confidentiality and use discretion
- Ability to maintain a professional demeanor that effectively represents the firm
- Ability to show initiative and accept accountability for projects
- Ability to work effectively with minimal supervision in an atmosphere of multiple projects, shifting priorities, and competing deadlines
- Available to work before or after normal working hours as necessary in order to meet the demands of the job and needs of the firm
