Position Summary

An Administrative Specialist provides assistance to the PPD department specifically by effectively scheduling and coordinating PPD’s and ensuring the entire PPD process is followed according to policies and procedures. The Administrative Specialist also attends PPD’s on behalf of the Firm to represent the client. 

 

Salary Range

  • $48,000 - $72,000 base, depending on experience

Essential Duties and Responsibilities

The essential functions include, but are not limited to the following:

  • Managing and maintaining the Firm’s PPD calendar to ensure timely and appropriate scheduling of all appointments.
  • Coordinating Pre-PPD and PPD appointments, including scheduling for the Chief Medical Officer (CMO), PPD physician, and/or Administrative Specialist, as needed.
  • Attending Pre-PPD appointments to prepare and guide clients, ensuring they understand the process and feel supported.
  • Accompanying clients to PPD appointments to represent the Firm and facilitate a smooth, professional experience.
  • Providing interpretation services for clients during PPD appointments, when necessary, to ensure accurate communication with the rating physician.
  • Reviewing and updating the PPD tab in the client’s case within the Firm’s case management system (CMS).
  • Communicating with insurance carriers and PPD rating offices regarding appointment details and follow-up.
  • Completing all necessary documentation and ensuring the accuracy and thoroughness of the PPD tab.
  • Ensuring the CMS feed is cleared daily.
  • Ensuring emails are cleared daily.
  • Performing other duties as assigned.


Requirements

  

  • Bilingual in English and Spanish 
  • Certificate, AA, BS in medical studies, or other relevant experience 
  • A minimum of 1 year of experience in calendaring or appointment scheduling 
  • Ability to travel locally regularly to attend client appointments at rating physician offices and provide in-person client support  
  • Strong technical knowledge
  • Experience with calendaring in Outlook
  • Meticulous attention to detail
  • Multi-tasker with a strong work ethic
  • Proficient with Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook
  • Demonstrate interpersonal skills and proficiency in business vocabulary to effectively represent the Firm to outside parties
  • Proficient in multi-tasking, attention to detail, and the ability to audit documents and calendaring
  • Excellent interpersonal, oral, and written communication skills
  • Excellent writing, proofreading, and editing skills
  • Ability to operate basic office equipment such as a copy machine, fax machine, printer, scanner, computer
  • Ability to work with databases and online technological platforms
  • Ability to be detail-oriented, diligent, and flexible
  • Committed to maintaining integrity and confidentiality on behalf of clients and the Firm
  • Proficient command of the English language in both oral and written format
  • Ability to maintain confidentiality in a professional manner

Preferred Qualifications (Knowledge, Skills, and Abilities)

  • Prior experience working with personal injury or workers’ compensation cases
  • Proficiency in using case management systems or medical platforms
  • Experience coordinating with insurance carriers, medical professionals, or legal teams
  • Strong organizational skills with a track record of handling high-volume calendaring
