Calfee, Halter & Griswold LLP (Calfee), a full-service corporate law firm with offices in Cleveland, Columbus, Cincinnati, and Indianapolis has an opportunity for a Legal Administrative Assistant to join its Cincinnati office.
The Legal Administrative Assistant provides comprehensive administrative support and delivers high-quality service to attorneys and legal team members within a collaborative team environment. This role requires a strong understanding of firm and practice-specific procedures, along with the ability to manage a variety of tasks with accuracy, organization, and efficiency. The Legal Administrative Assistant maintains the highest level of professionalism while ensuring strict confidentiality of all client and firm matters.
Responsibilities:
- Prepare, revise, and finalize legal documents and general correspondence accurately and in a timely manner.
- Draft standard correspondence; proofread, edit, and format documents to ensure quality and consistency.
- Manage and coordinate calendars, meetings, and travel arrangements.
- Accurately enter and manage attorney time in the firm’s timekeeping system.
- Maintain organized paper and electronic client and administrative files in accordance with firm policies and document management systems.
- Support administrative processes including conflict checks, new client and matter intake, billing coordination, mail handling, and expense/reimbursement submissions.
- Communicate professionally with clients, attorneys, and staff, delivering a high level of customer service.
- Collaborate with team members to ensure timely completion of administrative and clerical tasks.
- Participate in ongoing training and professional development to expand legal knowledge and skill sets.
Qualifications:
- High school diploma required; additional education or certification is a plus.
- Prior administrative experience in a law firm or legal department preferred.
- Strong organizational, time management, and follow-up skills with the ability to prioritize effectively.
- Excellent written and verbal communication skills.
- Exceptional attention to detail and accuracy.
- Ability to manage multiple priorities and meet competing deadlines in a fast-paced environment.
- Strong interpersonal skills with a client-service mindset.
- Ability to work both independently and collaboratively within a team.
- Proficiency in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint).
The salary range for this position is $65,000 - $80,000 per year.
