Patriots Law Group is seeking a highly organized, service-oriented, and detail-oriented Legal Administrative Assistant to join our Alexandria office. This on-site position supports the firm’s legal team, including its attorneys and paralegals, as well as the operations team, by providing administrative, client service, and legal administrative support.
The Legal Administrative Assistant plays an important role in ensuring the efficient day-to-day operation of the firm by maintaining organized case files, coordinating administrative processes, supporting client communications, and assisting with legal administrative tasks that contribute to the successful management of client matters. While this position includes opportunities to perform billable legal administrative work, its primary focus is providing exceptional administrative support that enables the legal team to serve clients effectively.
This position also provides backup reception coverage during planned absences, vacations, and other staffing needs, helping ensure a seamless experience for clients and visitors.

Essential Responsibilities
Administrative Support
- Provide administrative support to the legal and operations teams.
- Answer, screen, and direct incoming telephone calls professionally and courteously.
- Provide backup reception coverage during vacations, leave, and other staff absences.
- Welcome clients and visitors and ensure a professional, welcoming, and positive client experience.
- Schedule meetings, conference calls, and appointments.
- Coordinate conference room reservations and meeting logistics.
- Process incoming and outgoing mail, including scanning, routing, and electronic distribution.
- Order and maintain office supplies and assist with general office organization.
- Assist with maintaining office procedures, administrative records, and operational documentation.
- Support administrative projects and firm initiatives as assigned.
Legal Administrative Support
- Support the legal team by preparing, formatting, proofreading, and finalizing legal correspondence and other documents.
- Organize, maintain, and archive electronic and physical client files.
- Update the firm’s case management system with case activity, deadlines, document information, and client communications.
- Assemble pleadings, exhibits, hearing binders, and other case materials.
- Process, scan, organize, and route incoming legal documents and correspondence.
- File legal documents electronically and, when necessary, in person.
- Assist with document production, scanning, indexing, Bates labeling, and other document management tasks.
- Support hearings, depositions, mediations, and trial preparation by organizing materials and coordinating logistics.
- Assist with maintaining firm templates, standardized forms, checklists, and other controlled documents to promote consistency and quality across the legal team.
- Contribute to the continuous improvement of administrative processes by identifying opportunities to enhance efficiency, organization, and client service.
- Perform billable legal administrative tasks and other administrative support activities as assigned.
Client Service
- Serve as a professional point of contact for clients by phone, email, and in person.
- Communicate with clients regarding scheduling, document requests, and routine case-related communications.
- Assist with collecting client information, questionnaires, and supporting documentation.
- Maintain confidentiality while providing exceptional client service.
- Help ensure every client interaction reflects the firm’s commitment to professionalism, responsiveness, and service excellence.
Other Responsibilities
- Support firm events, and special projects.
- Cross-train on administrative functions to provide operational support across the firm as needed.
- Perform other duties as assigned to support firm operations.
Qualifications
Required Qualifications
- High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred.
- At least one (1) year of administrative, customer service, or professional office experience required.
- Strong organizational skills with exceptional attention to detail.
- Excellent written and verbal communication skills.
- Demonstrated commitment to providing outstanding customer service and creating a positive client experience.
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
- Professional demeanor with excellent interpersonal skills.
- Proficiency with Microsoft Office, including Outlook, Word, Excel, and Teams.
- Ability to quickly learn legal technology and case management software.
- Strong work ethic, sound judgment, and a commitment to maintaining confidentiality.
Preferred Qualifications
- Prior legal office experience.
- Experience working in a professional services environment.
- Experience with document management or case management software.
- Interest in building a long-term career in the legal profession.

Work Location
This is a full-time, onsite position based in our Alexandria, Virginia office.
Compensation: $24.00-$29.00 per hour (approximately $50,000-$60,000 annually based on a 40-hour workweek), depending on qualifications and experience.
