Job Summary
Realty Income is looking for a Senior Administrative Assistant to join our in house Legal team. In this role, you will provide administrative assistance to a team of in-house attorneys and paralegals who work within our Asset Management, Property Management, and Financial Operations departments. This role involves independently managing multiple tasks, ensuring the seamless execution of legal operations, and extending support to the department as required.
What you will work on:
- Track incoming legal requests in the internal database.
- Compile file documentation for attorneys and paralegals upon receipt of requests from the business teams.
- Assemble leasing or other documents in conjunction with the real estate paralegal and prepare for execution.
- Notarize documents as needed, coordinate the schedule of team notaries.
- Manage form documents, checklists and other materials for the team.
- Receive and process mail for the team; prepare and send overnight packages.
- Assist team leader with calendaring, team communication, and onboarding of new team members.
- Process invoices and assist attorneys with travel arrangements and expense reports.
- Assist with preparation and delivery of notices to tenants and third parties.
- Assist with records retention and filing.
Qualifications:
Candidates are typically expected to have:
- At least 5 years of relevant professional administrative assistant experience in a business environment.
- Combination of education, training, experience, skills and other characteristics that would provide the requisite knowledge and abilities in support of the essential job function.
- Excellent communication, organization and administrative skills, including performing duties with a high degree of accuracy and timeliness.
- Excellent computer skills in Adobe and Microsoft Office, including Outlook, Word, Excel and PowerPoint.
- Familiarity with SharePoint and Salesforce.
- Ability to develop rapport and a working relationship with a diverse group of attorneys, paralegals, and business team members.
- Notary public for state of employment (may be obtained after employment).
This hybrid position is based in our San Diego (Del Mar area) headquarters. Monday through Thursday is in-office for collaboration, with the opportunity to work remotely on Friday.
The hourly rate for this role is $26.15 - $33.13 - $40.56.
Offers near the high end are uncommon but may be considered for candidates with exceptional experience and skills and are dependent on the facts and circumstances of each case. You may be eligible for an annual discretionary bonus and an annual discretionary stock award, to be discussed during the interview process. An annual pay rate and total compensation package is generally determined by the candidate's experience, knowledge, education, skills, performance, and abilities, as well as internal equity, company performance, and alignment with market data.
