Job Description

The Arizona Department of Juvenile Corrections (ADJC) is seeking a Legal Assistant to provide administrative support for the Legal Systems Bureau by ensuring prompt and professional communication with legal system stakeholders, judicial officers and internal staff on court matters, due process proceedings, releases and discharges, and sex offenders registration matters. In addition, this position maintains all legal, due process, and court-documentation for the Legal System Bureau and ensures timely and accurate record keeping and communication. Duties

  • Schedule due process proceedings pertaining to parole suspension, revocation, and appeals
  • Prepare and distribute the hearing file to the assigned hearing officer
  • Ensure proper documentation of hearing results; process any motions or appeals and related documentation
  • Research, prepare, maintain and update court hearings schedule for the weekly court hearing calendar, scheduling hearings for Legal Bureau personnel
  • Track and confirm court hearings with judicial divisions statewide and ensure virtual link accuracy for virtual hearings
  • Monitor and facilitate awareness of and timely compliance with court orders through documentation, communication and follow-up
  • Monitor and maintain the domains for which Legal is the process owner, including the A-Form and Discharge domains; ensure timely and accurate processing of discharges
  • Schedule and provide documentation of Absolute Discharge Appeals Board proceedings
  • Monitor, process, track and document other critical legal processes including litigation register, DNA requests, fingerprinting, restitution and judicial officer list
  • Maintain standard work for assigned duties and update as necessary
  • Perform other duties as assigned

Salary
  • $36,779 - $58,000
Qualifications

Knowledge of:

  • State and Federal laws as it pertains to Juveniles
  • Constitutional rights of juveniles in a secure care setting
  • Arizona court procedures and processes


Skill in:

  • Tactful communication under pressure
  • Written and oral communication to internal and external stakeholders
  • Diplomatic cooperative problem-solving
  • Computer software to include but not limited to Google Suites
  • Create and maintain informative communication tools including standard work and spreadsheets
  • Time management with competing deadlines
  • Multi-tasking
  • Establishing and maintaining positive working relationships with Agency staff and government agencies
  • Reviewing and applying ADJC policy to complex situations


Ability to:

  • Computer programs including Google Suites, Microsoft Suites, Internet and Intranet
  • Learn ADJC and court database systems
  • Research using public and government databases
  • Write clear, concise explanations and updates for court personnel including judicial officers
  • Operate autonomously
  • Learn and apply agency policy and procedures
  • Drive on State business if necessary
  • Manage stressful situations
  • Use discretion and maintain confidentiality of protected information
  • Work in a correctional environment

Preference for individuals with previous experience working for a law office in a paralegal, legal assistant, or administrative staff capacity.

REQUIRED: Employment is contingent on the selected applicant passing a comprehensive background investigation.

REQUIRED: If this position requires driving or the use of a vehicle as an essential function on the job, then the following requirements apply. Any employee operating a motor vehicle on State business must possess and retain a current, valid class-appropriate driver’s license, complete all required training, and successfully pass all necessary driver’s license records checks. The license must be current, unexpired, and neither revoked or suspended. Employees who drive on state business are subject to driver’s license record checks, must maintain acceptable driving records, and must complete all driver training. An employee who operates a personally owned vehicle on state business shall maintain the statutorily required liability insurance (see Arizona Administrative Code (A.A.C.) R2-10-207.010).

All newly hires State employees are subject to and must successfully complete the Electronic Employment Eligibility Verification Program (E-Verify).
