Fennemore has an exciting opportunity in our Oakland office for a skilled and motivated full-time Legal Administrative Assistant to join our growing Litigation, Business Litigation, and Trusts & Estates Litigation teams. This is a hybrid position requiring three days per week in the office, with the remaining days worked remotely. The role provides an opportunity to support attorneys across a range of practice areas and is well-suited for someone who is detail-oriented, organized, and experienced in managing a busy legal workflow with accuracy and professionalism.


Responsibilities:

  • Provide high-level administrative support to multiple attorneys across litigation-related practice groups;
  • Manage complex calendaring, court docketing, and scheduling;
  • Conduct online research (e.g., PACER, court filings, agency databases);
  • Prepare, format, proofread, and finalize a wide range of legal documents and correspondence;
  • Coordinate conflict checks and assist with retention letters;
  • Interact with clients via telephone, in person, and email;
  • File and organize legal documents and correspondence under the general direction of attorneys;
  • Prepare indexes, file backers, labels, and trial/case notebooks;
  • Submit court filings, including e-filing;
  • Track attorney CLE requirements;
  • Ability to anticipate attorneys' needs and take proactive steps to ensure efficient workflow;
  • Coordinate the completion of projects with other firm departments as needed; and 
  • Other duties as assigned.

Required Qualifications:

  • 5+ years of litigation legal administrative assistant experience;
  • Adhere to the highest standards of ethical conduct, particularly regarding confidentiality and the careful handling of sensitive information;
  • Demonstrate adaptability to multi-task in a fast-paced environment;
  • Strong knowledge of the English language, including excellent spelling, grammar, punctuation, form, and style;
  • Exhibit superior organizational skills, attention to detail, and the ability to manage multiple projects to completion on a deadline;
  • Ability to prepare a table of contents and table of authorities;
  • Proficient in Microsoft Office (Word, Outlook, Excel, PowerPoint), DocuSign, Adobe or Kofax, document management, and time entry systems; experience with iManage and Intapp is a plus; and
  • High school diploma or equivalent.
