Type, transcribe and revise all communications, legal documents, charts and tables.
Organize, create and update client binders; maintain electronic binders.
Scan, profile and process original clients documents for insertion in Will Vault
Organize, prepare and maintain client and office files both in electronic and paper filing systems.
Open and sort incoming communications via standard or electronic delivery and distribute appropriately.
Process attorney expense reports, check requests and travel arrangements which include transportation, automobile rentals, and hotel reservations.
Send client invoices.
Prepare and submit new client and/or new matter forms and sub-files.
Assist with assembling and filing certain tax returns on an as needed basis.
Coordinate, schedule and docket/calendar meetings, conference calls and client tasks.
Proofread all work for both accurate content and context.
Assignments may change from time-to-time and flexibility is essential. Legal Practice Assistants are expected to extend support and service not only to primary attorneys, but to any attorney within the Department.
Qualifications
Must have at least 3 years legal experience. Preferred experience in Private Client, Trusts and Estates Planning.
Must possess strong organizational and communications skills, both verbal and written.
Must be very detail-oriented and be able to multi-task.
Strong document processing and project management skills.
Must be able to think critically and proactively on projects and assist making executive decisions in order to finalize tasks.
Must be cognizant of the privacy of clients and the security of their documents.
Proficient in advanced levels of Microsoft Office 365, Outlook, Excel, iManage Work, Word (use and application of Styles), Redlining (Litera), Track Changes, Adobe Acrobat Pro, Docusign and Teams.
Must be able to operate the Firm’s software applications on an advanced level within a reasonable period of time, and possess excellent reading comprehension and proofreading skills.
Outstanding written and verbal communications and be able to professionally interact with clients, attorneys, and staff.
Experience in working collaboratively and applying individual commitment to a group or team environment in the spirit of cooperation to successfully complete tasks efficiently and quickly.
Experience with document management program – iManage DeskSite preferred
Degree preferred but applicable work experience will be considered in lieu of a degree.
