GENERAL DESCRIPTION OF WORK:
The Legal Administrative Assistant - Risk and Workers Comp Focus performs administrative work within the City and County Attorney’s office. This individual’s primary responsibilities include direct administrative support to the Risk & Safety Manager in risk management, property and casualty claims management, and workers compensation claims management. This individual also provides support as needed to the attorneys and other staff members in the City and County Attorney’s office. Additionally, this individual’s responsibilities include preparing and managing the City and County Attorney’s departmental budget.
Overview of Primary Responsibilities:
Administers and maintains the internal tracking system for workers compensation claims, property and casualty claims, and claims in litigation.
Communicates orally, over phones and computers, and in writing with employees, department representatives, external partners, residents, and external adverse parties.
Performs a variety of technical and administrative duties in support of risk management, workers compensation, and legal services. This includes preparing and reviewing contracts, ordinances, resolutions, and presentations, file and case management, calendaring hearing dates and due dates, preparing subpoenas and document requests.
Prepares and manages the department budget. Runs budget reports periodically to assess office expenditures and the need to perform budget transfers. Reconciles use of office purchasing cards. Assures that responsibilities are performed within budget and performs cost control activities such as monitoring expenditures to assure sound fiscal control.
Responsible for the day-to-day administration of a specific category of cases, claims, and/or work matters such as municipal cases, civil litigation, human services cases, Council items, workers compensation claims, risk management claims, or administrative hearings. This role serves as the central point of contact for their specified area. It involves the timely and accurate processing of tasks as well as providing support to ensure assignments stay on track.

Performs a variety of technical and administrative duties. This includes preparing and reviewing letters, memorandum, contracts, ordinances, resolutions, and presentations, file and case management, calendaring meeting or hearing dates and due dates, preparing subpoenas and document requests.
Requests purchase orders, pays invoices and sets up vendor files. Reconciles use of office purchasing cards and general ledger accounts. Evaluates service costs and makes related recommendations.
Assists in the coordination and collection data and prepares reports.Researches, collects, and compiles information from various sources for a variety of functions. Responds to requests for information from internal and external sources.
Compiles, drafts, creates, edits and maintains communications, documents, presentations, intranet pages, etc.
Maintains a variety of hard copy and/or electronic documents and records. Retains and purges documents in accordance with record retention policies and regulations.
Assists with scheduling meetings, events, training, depositions, mediations, court dates, etc.
Provides assistance and back up support to other members of the City and County Attorney team on projects outside of their specified area of cases, claims, and/or work matters.
Attends in-person and online meetings, workshops, and training as necessary for the maintenance of effective services.
QUALIFICATIONS, REQUIREMENTS & WORKING CONDITIONS
Education
High School Diploma/GED - required
Associate's Degree or 60 semester hours from an accredited college or university - preferred
Experience
3 years required experience in progressively responsible administrative roles in a legal office, a risk management organization, the public entity insurance industry, or the workers compensation field. Strong preference given to candidates with experience in workers compensation or public risk management.

Work is generally scheduled Monday-Friday.
Regular, predictable attendance required.
Work is performed at City/County work locations with the ability to perform some duties remotely in accordance with Broomfield's remote work policy
In-person customer/client/team meetings required.
Physical demands are described as sedentary (exert up to 10 lbs. of force occasionally and/or a negligible amount of force frequently or constantly to lift, push, pull, or otherwise move objects. Involves being stationary most of the time but may involve moving or standing for brief periods of time).
Tasks may require use of a computer for several hours.
