Carlton Fields is seeking a Litigation Legal Administrative Assistant for its Miami office.

 

Qualified candidates will have at least five to seven years of experience in complex commercial litigation. The candidate must be experienced with State and Federal court procedures and requirements, as well as e-filing. This position will support Shareholders and Associates in a busy downtown office. Trial experience is required.

 

Qualified candidates must demonstrate professionalism, confidentiality, flexibility, organizational skills, and the ability to be proactive. Qualified candidates must be proficient in or have advanced knowledge of Microsoft Word, Excel, Outlook, and electronic document management systems. Experience with Filesite is preferred.

 

Duties of the position include, but are not limited to:

  • Assisting attorneys in preparing, proofreading, revising, and filing documents
  • Calendaring of Court deadlines
  • Scheduling of travel, appointments, and maintenance of calendars
  • Maintenance of files and records
  • Submission of intake and conflicts requests
  • Time entry and client billing
  • Provision of assistance to other assistants and attorneys if necessary
  • Review and analyze documents, data, and depositions as required by team attorneys and/or clients
  • Assist in the preparation for depositions of fact and expert witnesses. 
  • Coordinate the preparation of motions and briefs, including the assembly of exhibits, filing, and service
  • Assist at and with preparation for trial, including gathering trial exhibits, preparation of witness binders, deposition designations, review and organization of materials for use by team attorneys, preparation of electronic presentations, and coordination with litigation support personnel
  • Liaise with internal firm departments and outside sources to gather information and data
  • Provide proactive management of larger cases, including coordination of support efforts and preparing for upcoming events
  • Additional duties as assigned
