Description
The primary responsibility is to proactively provide a high level of legal support and project coordination to the attorneys through quality work. This position demands a high level of professionalism, sound judgment, acute attention to detail, discretion, and the ability to manage fluctuating demands under accelerated and often changing deadlines.
Responsibilities include:
- Organize cases by establishing and organizing files; monitor calendars; meet deadlines; document actions; input information into file; confirm case status with attorney.
- Electronically file key documents meeting applicable deadlines; mail letters and pleadings.
- Manages case and client information manually and digitally through the use of electronic databases.
- Communicate with people involved in the case including other attorneys, court clerks and personnel; schedule depositions; prepare and forward summonses and subpoenas; draft complaints; prepare and file discovery requests; prepare responses to opposing counsel; generate and share status reports.
- Keep clients informed on case process per the attorney.
- Maintain case costs / billables working with team and within billing software (LMS).
- Responding to all customer inquiries in a polite and timely manner
- Drafting, proofreading, preparing revisions, and redlining documents as directed. Typical documents include operating agreements, resolutions, loan agreements, purchase agreements, opinion letters, checklists, and closing statements.
- Compiling transaction documents, including printing, scanning, and PDF document assembly.
- Organizing meetings and calls internally and externally.
- Administrative tasks as needed including coordinating appointments; transcription; copying documents; database maintenance; making, answering and directing phone calls; greeting clients; scheduling attorney travel arrangements; and other organizational tasks.
Qualifications
- Detail-oriented with a high degree of accuracy; creates polished work product
- Problem-solver: Seeks answers or solutions before asking for help
- Strong technology skills and proven ability to learn new programs. Knowledge of redlining programs and NetDocs a plus.
- Trial and hearing presentation experience with Trial Director (preferred) or comparable software program
- Experience with using an e-discovery database/platform such as Relativity (preferred)
- Proficiency with Microsoft Office products, including Excel and Teams
- Experience with social media/internet research and capture
- Willing to accompany supervising attorney to out-of-town trials/hearings as necessary
- Ability to multitask and prioritize

- Verbal and written communication skills to interact clearly with customers, vendors and other employees
- Organization skills: A good planner
- Time management skills to prioritize and complete a side variety of tasks throughout the day

The ideal candidate will have:
- 2- or 4-year college degree
- 5 years of experience in litigation matters in a law firm.
