Job Description

Job Duties

  • Serve as primary point of contact for incoming requests for legal support from the business and admin teams to the legal team. This includes managing the Legal team’s intake software (Smartsheets), ensuring the intake includes all necessary details, is routed to the appropriate individual for handling, and remain updated with current status.
  • Interface with requestors to gather information to better understand the nature, requirements, and time sensitivity of requests, as well as requesting missing documentation that may be required for review. Coordinate and escalate incoming requests to the legal team, expediting as necessary.
  • Maintain the current status of each request within the legal team’s matter management process in Smartsheet to facilitate communication and progress tracking, confirming data fields provided by requestors and correcting them as necessary, and updating with new communications and documentation as received.
  • Support the commercial needs of the company by proposing and developing resources that can be utilized to streamline legal processes and serve as educational resources for the businesses to better engage with Legal or self-serve to reduce Legal dependencies. This includes the creation of well formatted and organized job aids and playbooks, detailed and streamlined operating procedures, and simple but effective training documents or reference sheets where appropriate.
  • Develop best practices, process improvements and related trainings on matters affecting the Legal department.
  • Work with Perseus Group’s Legal team members to document legal project scopes and objectives. Update project schedules and work plans as instructed by the Legal team.
  • Prepare reports which evidence progress and develop presentations on project updates and statistics on a consistent basis
  • Create and manage automated reporting for department use in analyzing workload and determining performance metrics. Assist in developing reporting and presentations for business units and upper level management on a quarterly basis.
  • Provide assistance with legal billing when required, including managing outside firm and vendor relationships, ensuring proper provision of billing details as mandated by internal accounting policies, and coordinating with finance and attorneys to ensure billing metrics are updated and accurate.
  • Provide assistance to office administrator regarding legal notices, when required. Coordinate service of process to the appropriate team or attorney for timely handling
  • Work with the legal team to update the internal legal intranet site with newly developed content and template agreements and standard forms, and propose content that can developed for use by the business teams based on frequently requested information.
  • Proofread and revise corporate policies, guidance documents, and internal announcements and news items to improve succinctness, flow, and grammar.
  • Maintain knowledge of internal software and systems resources including Smartsheet, Adobe Acrobat, and Microsoft Office. Optimize systems and provide recommendations for new tools that may be appropriate for the team.

Skills

  • Attention to detail and strong time management and organizational skills. Ability to multi-task and manage conflicting priorities.
  • Ability to create well formatted and organized presentations and materials for different audiences. Experience creating dashboards and other operation oriented software preferred.
  • Writes in a clear and succinct manner
  • Is a self-starter who can issue-spot and act accordingly.
  • Proactive and eager to learn about the business and department.
  • Can interface with any member of the enterprise, from the c suite and below
  • Strong Excel skills.
  • Familiarity with developing and managing Smartsheets a plus.

Salary Range (US Only):

The estimated base salary range for this role in the United States is $30.40 - $45.60 per hour. For compliance with local legislation, and to provide greater transparency to applicants, we share salary ranges on all job postings regardless of the desired hiring location or whether the position is remote. The posted range is an estimate and reflects many factors which are subject to change. Final offer amounts may vary from the amounts listed above, based upon geographic location, candidate experience and expertise, and other relevant factors.
