Position Summary: The Contract Specialist is responsible for drafting, reviewing, negotiating, and managing contracts across various departments within the organization to include but not limited to: Information Technology, Facilities, Office Services, Marketing, Professional/Consulting Services, and other areas as needed for both direct and indirect spend. This role ensures all agreements comply with company policies, applicable laws, and risk management practices. The Contract Specialist serves as a liaison between internal stakeholders and external vendors to ensure contractual obligations are clearly defined and met.

Key Responsibilities: 

  • Draft, review, redline, and negotiate a wide variety of contracts including NDAs, MSAs, SOWs, vendor agreements, service agreements, licensing agreements, and more.
  • Ensure contracts are compliant with internal policies, applicable laws, and regulatory requirements.
  • Collaborate with internal stakeholders (Legal, Finance, Procurement, IT, HR, Marketing, etc.) to gather necessary information for contract development and execution.
  • Identify and mitigate contractual risks while ensuring favorable terms for the organization.
  • Track contract lifecycle from initiation through expiration or renewal, ensuring timely renewals or terminations.
  • Maintain accurate records in the contract management system and ensure proper documentation of approvals and revisions.
  • Support audits and reporting activities by providing relevant contract data and documentation.
  • Recommend improvements to contract templates, playbooks, clause libraries and processes to enhance efficiency and consistency.
  • Stay informed on relevant laws, regulations, and best practices related to contracts and procurement.

Work Experience Requirements:

  • 3+ years of experience in contract administration, legal support, or procurement contract work.
  • Strong understanding of contract language and legal terminology.
  • Excellent negotiation and communication skills.
  • Strong attention to detail and organizational skills.
  • Proficiency with Microsoft Office Suite (Excel, Word, Powerpoint, Sharepoint)
  • Ability to work independently and manage multiple priorities under tight deadlines.

Education Requirements:

  • Bachelor’s degree in Business, Law, Supply Chain, or a related field.
  • Certification in procurement or supply chain management (e.g., CSCP, CPSM) is a plus.

Physical Requirements:  

  • Office environment with normal business hours necessary to satisfactorily perform job functions.
  • Stand/Sit – Must be able to remain in a stationary position up to 50% of the time.
  • Walk – This position needs to occasionally move about inside the office to access file cabinets, meeting rooms, office machinery, etc.
  • Use of hands/fingers to handle or feel – Constantly operates a computer and other office machinery such as a copy machine/printer.
  • Carry Weight/Lift - Occasionally moves supplies weighing up to 10 pounds for various presentation and event needs.
