Job Description

Job Summary: The primary duty of the part-time Administrative Specialist I is to conduct routine clerical work to support the administrative functions for the Office of the State’s Attorney.


Essential Functions

  • Performs a variety of administrative functions to support the Office of the State’s Attorney.
  • Provides front desk coverage (when needed).
  • Responds to inquiries from the public or other staff and assists as needed.
  • Prepares, tracks, and maintains a variety of department logs.
  • Keeps supervisors and departmental staff informed of office matters.
  • Prepare a variety of correspondence or other documents for the Office of the State’s Attorney.
  • Provides support to the Circuit Court Coordinator.
  • Takes meeting minutes and distributes as assigned.
  • Prepare meeting packets.
  • Performs other duties as required, such as:
    • Communicate with the Courts and defense attorneys.
    • Prepare new case files.
    • Calendar, track, and meet filing deadlines.
    • Prepare and file appropriate documents with the Courts

 

Supervision: The position reports to the State’s Attorney and the State’s Attorney designee(s). Position does not supervise staff.



Required Knowledge, Skills, and Abilities

The employee is expected to perform or possess the following:

 

  • Prioritization Skills: Ability to handle a variety of duties with conflicting deadlines and needs.
  • Communication and Persuasion: Ability to communicate with end users, to gain cooperation and understanding of data needed to achieve goals.
  • Customer Service: Ability to assist and support constituents in a timely and pleasing manner.
  • Detail Orientation: Ability to update information for end users as it relates to instructions and directions, which are clear and concise, and easy to understand.
  • Flexibility: Ability to deal with complex and varied work, requiring a complete knowledge of a wide variety of operations and practices, consistently using independent judgment.
  • Decision Making: Ability to exercise strong decision-making and good judgment as decisions made impact the project.
  • Computer-related Skills: Ability to work with word processing, database packages, and graphic software. Computer Related Skills: Ability to work with word processing and database packages. Must be able to type at a speed of no less than 55 wpm. Experience with Microsoft Office products required. Email and basic internet usage required. Experience using MDEC (Maryland Electronic Courts), databases, running queries, and working with websites is preferred.

 

Education and Experience:



  • Requires High School diploma.
  • Minimum two years’ experience in an administrative or office role. Legal or criminal justice office experience preferred.
  • Valid Maryland Driver’s License and an acceptable motor vehicle record.
  • CN5 Certification for NCIC (National Crime Information Center)

 

Physical and Environmental Conditions:

 

Work is conducted in an office setting with comfortable lighting, temperature, and air conditioning. The position occasionally requires stooping or bending. Occasional very light lifting, such as three or four reams of paper, books, or other materials (up to 20 pounds), may be required.

 

Work environment involves everyday risks or discomfort that require normal safety precautions typical of such places as offices or meeting rooms, e.g., use of safe workplace practices with office equipment, and/or avoidance of trips and falls, and observance of fire regulations.
