Job Description

The Judicial Council of California is accepting applications for the position of Administrative Specialist for the Center of Judicial Education and Resources (CJER).

This position provides support within CJER’s Judicial Branch Education unit and is supervised by the Principal Manager. This position is responsible for producing, reviewing, and tracking all CJER program Travel Claim forms and will assist the Associate Analyst in maintaining various tracking documents for record’s management, SB331, and the CARE act educational products. This position will also provide other clerical support, such as processing invoices, data entry, and generating reports.

The Judicial Council

The Judicial Council of California is the policy setting body for the state court system and has constitutionally conferred statewide rule-making authority. This authority includes developing, advocating for, and allocating the judicial branch budget. A majority of Council members are California state justices and judges; however, the Council also includes lawyers, legislators, and court administrators.

As a government body charged with improving the statewide administration of justice, the Judicial Council has multiple offices with diverse responsibilities relating to court policy and operations. The Judicial Council offers hybrid work arrangements for many positions. The successful candidate will be expected to work in person at the Judicial Council’s San Francisco or Sacramento office at least two days per week, based on their office leader’s direction, and reside in the areas surrounding these locations.

Duties

  • Receives, Reviews, and processes all program faculty Travel Expense Claim Forms (TECs).
    • Monitors CJER’s TEC mailbox, reviews submitted TECs and corresponds with faculty and administrative coordinators.
    • Submits completed TECs for Principal Manager’s signature.
    • Submits approved TECs to travel mailbox.
    • Prepares TECs for each program with the correct codes and program specific information.
    • Tracks repeated issues with TECs by entering mistakes into a spreadsheet.
    • Works with the Associate Analyst to prepare job aids and training to address repeated TEC issues/mistakes.
  • Provides clerical support to the other units and the Principal Manager.
    • Enters requisitions and processes invoices as requested.
    • Tracks CJER contract faculty expenditures by entering data into a spreadsheet.
    • Accesses data from various spreadsheets to create reports as requested.
    • Logs video/podcast details into the existing database to assist the Distance Education team.
  • Assists Associate Analyst with CJER’s records management process and tracking legislation.
    • Creates and maintains timelines to review records that should be deleted from specific files as directed.
    • Creates and maintains CJER’s record inventory using Excel.
    • Updates spreadsheets to track SB331 and CARE Act offerings.

Salary
  • $5,614 - $7,858/month
Qualifications

Two (2) years of experience in administrative support, database maintenance, or meeting/event planning.

OR

Associate degree, preferably in the area of assignment. Additional directly related experience and/or education may be substituted on a year-for-year basis.

OR

One (1) year as an Administrative Assistant with the Judicial Council of California or one (1) year of experience performing the duties of a class comparable in the level of responsibility to that of an Administrative Assistant in a California superior court or California state-level government entity.
