About the Position

The Paralegal Supervisor is a dual role that combines hands-on real estate paralegal responsibilities with supervision of the firm's transactional paralegal team. The role balances direct oversight of complex real estate matters with team supervision responsibilities such as workflow management, performance management, and operational procedures. This hybrid structure is designed to maintain direct client service while ensuring effective team and workflow management. This is a position with firmwide responsibility thus occasional travel to our offices is required. This position is currently a hybrid role.

Essential Duties and Responsibilities

Supervisor Responsibilities:

  • Conduct bi-weekly one-on-one meetings with team of transactional paralegals; maintain ongoing communication regarding workloads and projects
  • Partner with practice group leaders on workflow management; apprise them of possible or existing conflicts and unmanageable workloads and recommend changes as applicable
  • Plan, prioritize, supervise, and review the work of paralegals; track and approve all timesheets and time-off requests, including planned and unplanned, ensure adequate coverage during those times
  • Conduct performance evaluations for team of transactional paralegals; coach and mentor paralegals, work with them to correct deficiencies, implement discipline, grievance, and conflict resolution procedures when necessary
  • Make recommendations to Chief Admin Officer regarding disciplinary actions of paralegals; document all performance issues, compile timeline of events and present all information to Chief Admin Officer. Participate in disciplinary meetings.
  • Participate in paralegal recruitment and training initiatives
  • Evaluate operational procedures and implement improvements
  • Attend practice group meetings across office locations

Paralegal Responsibilities:

  • Manage all aspects of title, survey, and zoning due diligence including review of title exceptions, negotiation of insurance policies, coordination of surveys and zoning reports, and preparation of related documentation including estoppel certificates and SNDAs
  • Handle entity formation and maintenance, including preparing organizational documents, obtaining EINs, managing state filings and registrations, coordinating with search companies, and maintaining corporate records and certificates
  • Review and prepare transaction documents for real estate loans and acquisitions, including conducting lien searches, assembling exhibits, and ensuring completeness of documentation packages
  • Coordinate all aspects of closings from document execution through post-closing, including managing signing appointments, UCC filings, title policy issuance, and closing binder preparation

Qualifications

  • Strong understanding of legal processes, case management, and transactional work
  • Excellent leadership, communication, and interpersonal skills
  • Proficiency in Microsoft Office and Windows applications

Education and/or Experience

  • Bachelor's degree and paralegal certification required
  • Minimum 7-10 years of transactional paralegal experience required
  • Previous supervisory experience preferred

Compensation

Allen Matkins is an Equal Opportunity Employer and offers a competitive compensation & benefits package. The anticipated base salary range for this full-time role is $125,000 - $175,000 per year. Actual salary will depend upon a number of factors, including, but not limited to, relevant experience, job-related skills, qualifications, and location. 

The base salary range displayed on the job posting reflects the estimated range for new hire salaries for the position. The actual offered base salary will be determined by work location and additional factors, including, but not limited to, relevant experience, job-related skills and qualifications. The pay range is subject to change at any time dependent on a variety of internal and external business factors.
