
Job Description
In this role, you will respond to billing inquiries, contact clients regarding overdue accounts, negotiate payment plans, and resolve discrepancies or payment issues. You will also be responsible for monitoring delinquent balances for assigned accounts within specific practice groups, maintaining accurate records, generating and analyzing AR reports, and collaborating closely with internal teams to ensure timely and accurate collections.
DUTIES AND RESPONSIBLITIES
- Respond to billing inquiries from clients and attorneys.
- Investigate and resolve discrepancies related to payments or account balances.
- Contact clients via phone, email, or mail regarding past-due accounts.
- Initiate and track collection activities for delinquent accounts.
- Negotiate and establish payment plans in accordance with company policies.
- Maintain detailed and accurate records of all collection efforts and communications.
- Collaborate with billing, sales, and customer service teams to resolve client concerns.
- Review accounts receivable (AR) balances monthly with the CFO.
- Prepare reports on aging accounts and collection status.
- Escalate unresolved accounts to management or third-party agencies when appropriate.
- Ensure compliance with all applicable regulations, including the Fair Debt Collection Practices Act (FDCPA).
- Perform other duties as assigned to support the Accounts Receivable department.
QUALIFICATIONS
- Strong customer service, communication, and interpersonal skills.
- Proven ability to negotiate and manage sensitive financial discussions.
- High attention to detail and excellent organizational skills.
- Ability to handle confidential financial information with discretion.
- Bilingual (English/Spanish) is a plus.
- Extensive experience with Microsoft Excel and Office Suite.
- Experience with accounting or billing software (e.g., Aderant, Elite).
- Familiarity with ERP systems is a plus.
- Knowledge of FDCPA and other applicable debt collection regulations.
REQUIREMENTS
- High school diploma required, Associate’s degree or Bachelor’s Degree in Finance, Accounting, or a related field preferred.
- Two or more years of experience in collections, client relations, or AR management.
- Law firm experience is required.
