Real Estate Paralegal

As a vertically integrated real estate company, we specialize in acquiring, renovating, and selling residential and commercial properties. We are currently seeking a detail-oriented Paralegal with a preferred background in the real estate industry to join our growing team.

Job Description:

  • Serve as the single point of contact for entity formations and multi-state registrations
  • Complete entity formation document templates for new legal entity formation and send to attorney for final review and signature
  • Determine legal entity(ies) to be used for acquisitions and provide it to the appropriate department
  • Obtain EIN/Tax ID numbers and provide them to internal departments who need access to them, i.e., Accounting Department and External CPA firm
  • Request LLC name registration with attorney
  • Notify register agent when new legal entities are formed
  • Track annual state reporting due dates and notify appropriate department of deadlines for each entity
  • Track each legal entity and its holdings
  • Ensure that proper signature block is used on all organization documents.
  • Provide the proper signature block to the appropriate department as need for each transaction
  • Maintain a current and accurate database of all entities and ensuring that entity files are complete by following up on outstanding documents, and ensuring that all documents are signed, notarized, scanned, and properly filed
  • Perform a quarterly review of all entities.
  • Assist the Acquisitions Department with legal review and drafting of Affidavits and other real estate documents
  • Track and maintain licenses for all license holders by monitoring training/CE hours and due dates, and following up with annual renewals
  • Collect and review all registered agent invoices, annual filing fees and entity formation fees and work with the Accounting Department to ensure timely payment.
  • Prepare legal entity signature blocks labeling for Accounting annual.
  • Transition all legal entities to one registered agent, and work to track and transition each entity over to a uniform fiscal year coverage for all entities.
  • Review of new loan origination document templates.
  • Review of contractor contacts templates with 3rd party vendors.

Requirements:

  • Paralegal certification or an Associate’s degree or higher with a focus in Real Estate
  • A minimum of two years' experience as a real estate paralegal
  • Knowledge of real estate documents / contracts and formation of legal entities
  • Superb organizational, time management, and multitasking skills
  • Excellent collaboration and communication abilities, and keen attention to detail
  • Ability to work in a fast-paced environment
