OVERVIEW OF THE POSITION - LEGAL ADMINISTRATOR

As our Legal Administrator, you'll orchestrate the systems and processes that enable our 125-person firm to deliver innovative, compassionate legal services at scale.
LEGAL ADMINISTRATOR ROLE & RESPONSIBILITIES
You'll report to the firm’s off-site Director of Operations and be the operational boots on the ground for our firm, splitting time between our Phoenix and Glendale offices while overseeing the administrative ecosystem that powers our mission. This is more than an administrative role - it's an opportunity to transform lives by building and maintaining the operational excellence that allows our attorneys to focus entirely on serving our clients.
KEY RESPONSIBILITIES
Administrative Leadership & Law Firm Management
- Design and implement firm-wide administrative systems that scale
- Lead and mentor our administrative team to peak performance
- Work with the Director of Operations to develop, implement, and improve SOPs that drive operational efficiency
- Oversee quality control for all administrative functions
- Manage vendor relationships and facilities
- Ensure seamless mail processing and filing systems
- Coordinate cross-office operations between Phoenix and Glendale
Technology & Systems Management
- Drive technological innovation through strategic IT vendor partnerships
- Advance our digital infrastructure to support rapid growth
- Oversee security protocols and system upgrades
- Provide tier-one tech support to team members
- Manage technology contracts and relationships
Team Development
- Build and lead high-performing administrative teams
- Monitor and optimize staff productivity and quality metrics
- Implement training and development programs
- Ensure exceptional administrative support across all departments
- Foster a culture of operational excellence
Operational Excellence
- Develop data-driven systems for measuring operational efficiency
- Create and track KPIs for administrative functions
- Implement continuous improvement processes
- Manage facilities and resources across locations
- Support HR with benefits administration and insurance matters
LEGAL ADMINISTRATOR REQUIREMENTS & QUALIFICATIONS
- 5+ years of legal administration experience, with proven success in fast-growth environments
- Bachelor's degree required; Legal Administrator certification preferred
- Strong background in administrative team leadership
- Demonstrated excellence in project and systems management
- Experience overseeing IT infrastructure and vendor relationships
- Track record of implementing scalable administrative processes
