Litigation Legal Administrative Assistant

POSITION SUMMARY:
Jackson Walker, the largest law firm in Texas, has an exciting full-time employment opportunity for a Litigation Legal Administrative Assistant in our Houston office. The Litigation Legal Administrative Assistant provides high-level administrative and litigation-specific support to attorneys and practice teams. This role maintains positive contact with clients, court personnel, attorneys, and support staff and observes strict confidentiality of client, personnel, and firm matters.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Prepare, proofread, and format legal documents such as pleadings, correspondence, memoranda, and exhibits.
- Perform e-filings in state and federal courts and maintain filing confirmations.
- Maintain and organize electronic files in the appropriate iManage folder.
- Establish and monitor calendaring of litigation deadlines and key dates.
- Open new matters and submit conflicts of interest requests.
- Enter billable time for attorneys and assist with revisions to pre-bills.
- Coordinate closely with billing managers and accounts payable personnel regarding client-specific rate agreements and vendor invoices.
- Prepare client-requested estimates and support monthly billing processes.
- Coordinate travel arrangements, meetings, depositions, and trial preparation logistics.
- Update pleading notebooks, indices, and case files as needed.
- Proofread documents to ensure accuracy, completeness, and compliance with court rules.
- Provide overflow assistance and perform other administrative and secretarial duties as requested.
QUALIFICATIONS:
- High school diploma or GED required.
- Bachelor's degree preferred.
- Minimum of 5 years' administrative experience supporting Litigation attorneys in a law office.
- Proficient knowledge of legal document formatting, including table of contents, table of authorities, styles, track changes, and PDF editing and conversion.
- Strong computer proficiency in MS Office (Word, Excel, PowerPoint, and Outlook).
- Experience working with a document management system (iManage experience a plus).
- Experience with time entry systems, e-Filing platforms, file opening, and conflict checks.
- General familiarity with court systems and litigation workflow.
- Excellent organizational and communication skills; ability to work independently and as a team member; strong prioritization, attention to detail, and ability to meet deadlines in a fast-paced environment.
- Strong interpersonal skills and ability to handle confidential information appropriately.
WORK CONDITIONS:
This position operates in a professional office environment with standard office equipment and minimal exposure to excessive noise or temperature fluctuations. Regular full-time in-office attendance is an essential function of the role. Occasional unscheduled overtime may be required to meet business needs.
