Position Summary: 
The Legal Assistant provides administrative and legal support to the hospital's Legal Affairs Department by assisting with contract administration, legal correspondence, document management, litigation support, regulatory compliance, corporate governance, and risk management activities. This position helps ensure the efficient operation of legal services while maintaining the highest standards of confidentiality, professionalism, and ethical conduct.

As part of SAH, the Legal Assistant supports legal and regulatory functions that protect the organization, promote compliance, and advance the hospital's mission of providing high-quality, equitable healthcare to diverse and medically underserved communities.

Key Responsibilities:

Essential Functions 

•    Provide administrative support to the General Counsel and Legal Affairs staff. 
•    Prepare, proofread, format, and distribute legal correspondence, reports, contracts, presentations, and other documents. 
•    Maintain legal calendars, schedule meetings, coordinate appointments, and arrange conference calls. 
•    Organize legal files, correspondence, and records in electronic and paper filing systems. 
•    Manage departmental mail, telephone inquiries, and general administrative tasks. 
•    Assist with the preparation, review routing, execution, and filing of contracts, agreements, memoranda of understanding, business associate agreements, and other legal documents. 
•    Maintain the hospital's contract management database and track contract expiration and renewal dates. 
•    Coordinate contract signatures and maintain executed agreements. 
•    Monitor contract workflows and follow up with internal departments regarding outstanding documents. 
•    Assist with document collection, organization, and production related to litigation, subpoenas, governmental inquiries, and claims. 
•    Maintain litigation files and legal hold documentation. 
•    Coordinate responses to requests for records under the direction of legal counsel. 
•    Assist with insurance claims documentation and communication with outside counsel and insurance carriers. 
•    Assist with maintaining documentation related to healthcare regulations and accreditation requirements. 
•    Support compliance with applicable federal, state, and local laws affecting hospital operations. 
•    Assist with preparation of reports and documentation for regulatory agencies and accreditation surveys. 
•    Maintain confidentiality of privileged legal and compliance information. 
•    Assist with preparation of Board of Directors and committee meeting materials, agendas, minutes, and governance records. 
•    Maintain corporate records, bylaws, resolutions, and governance documents. 
•    Support document retention and records management activities. 
•    Assist with tracking incident reports, claims, and risk management documentation. 
•    Coordinate collection of requested records for investigations and quality reviews. 
•    Support policy management activities by maintaining current policy files and document revisions. 
•    Assist with departmental audits and compliance initiatives. 
•    Organize, index, scan, and archive legal documents. 
•    Maintain document retention schedules in accordance with organizational policy and legal requirements. 
•    Ensure secure handling and storage of confidential and privileged information. 
•    Respond to internal requests for legal documents under attorney supervision. 
•    Work collaboratively with executive leadership, Human Resources, Medical Staff Services, Compliance, Risk Management, Health Information Management, Finance, and other hospital departments. 
•    Coordinate communication with outside counsel, government agencies, insurance carriers, and vendors. 
•    Provide courteous and professional customer service to internal and external stakeholders. 
•    Maintain confidentiality consistent with attorney-client privilege, HIPAA, and organizational policies. 
•    Stay informed regarding healthcare legal and regulatory requirements affecting assigned responsibilities. 
•    Participate in departmental meetings, training, and professional development. 
•    Perform other duties as assigned.

Qualifications:  (List any required knowledge, skills, experiences or training, including length of time necessary for proficiency, required to perform the job.)

•    Associate degree in Paralegal Studies, Legal Studies, Business Administration, Healthcare Administration, or a related field OR High school diploma or GED with a minimum of three (3) years of progressively responsible legal administrative experience. 
•    Minimum of two (2) years of administrative experience in a legal office, healthcare organization, government agency, or corporate legal department. 
•    Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint). 
•    Knowledge of legal office procedures, legal terminology, and document preparation. 
•    Understanding of healthcare privacy requirements, including HIPAA, and principles of confidentiality. 
•    Familiarity with healthcare regulatory environments, including accreditation and compliance processes, preferred. 
•    Strong organizational skills with exceptional attention to detail. 
•    Ability to prioritize multiple assignments and meet deadlines in a fast-paced environment. 
•    Excellent written, verbal, and interpersonal communication skills. 
•    Strong proofreading, editing, and document formatting skills. 
•    Ability to exercise sound judgment and discretion when handling confidential information. 
•    Proficiency with Microsoft Office Suite, Adobe Acrobat, document management systems, and electronic filing systems. 
•    Commitment to professionalism, integrity, diversity, equity, inclusion, and patient-centered healthcare.
Preferred
•    Bachelor’s degree in legal studies, Business Administration, Healthcare Administration, or a related field. 
•    Paralegal certificate from an accredited program. 
•    Experience supporting an in-house legal department or healthcare legal practice. 
•    Familiarity with healthcare contracts, regulatory compliance, medical staff matters, or risk management. 
•    Experience of contract management software and document management systems. 
•    Experience with electronic health records (Epic or comparable systems). 
•    Bilingual (Spanish and English) preferred.
