Administrative Assistant
Advocates for Basic Legal Equality (ABLE) is a nonprofit law firm established over 50 years ago to ensure that the most vulnerable people in our communities have the same access to justice as people and companies that can afford to retain an attorney. ABLE and its partner law firm, Legal Aid of Western Ohio (LAWO), are the only law firms available for comprehensive legal representation in non-criminal matters for more than 425,000 people living, working, and raising their families in poverty in Northwest and West Central Ohio. ABLE advocates for and with financially disadvantaged individuals and communities to effectuate just and equitable policy changes that address the structural causes of poverty and to protect their right to fairness and justice in the legal system.
Job Summary:
The Administrative Assistant supports attorneys and staff by performing a wide range of administrative, clerical, and case management functions essential to the legal services delivery system at ABLE.
KEY RESPONSIBILITIES (other duties as assigned):
- Administrative and Case Support: Manage client case files, including opening, updating, closing, and maintaining documentation in ABLE’s case management system. Retrieve and review applications, conduct conflict checks, enter case notes, and generate reports for internal and funder use. Ensure compliance with ABLE policies and funder requirements.
- Legal and Practice Group Assistance: Draft and format legal documents, correspondence, and reports. Provide administrative support for meetings, including scheduling, note-taking, and logistical coordination. Assist with electronic court filings and preparation for training events and CLEs.
- Office Operations and Coordination: Oversee inventory and supply orders, process incoming and outgoing mail, maintain the client trust account and petty cash fund, and ensure accurate document management through scanning and uploading to relevant systems. Serve as backup support for other teams as needed.
- Client and Public Interaction: Support the front desk by answering calls, greeting visitors, and routing inquiries appropriately. Maintain professionalism in all client and public interactions and build collaborative relationships with community partners and stakeholders.
- Other Support Functions: Coordinate and schedule meetings, make bank deposits, perform local errands, assist with the office library, and support in-office events and trainings. Occasional overnight travel may be required.
SCOPE & IMPACT:
This position ensures smooth administrative operations within the practice group and office, directly impacting the quality and efficiency of client services.
MINIMUM REQUIREMENTS:
- Relevant secretarial/administrative experience and skills.
- Proficiency in MS Office, email, and calendaring tools.
- Strong interpersonal and communication skills.
- Commitment to client confidentiality and service to low-income individuals.
- Organizational ability and attention to deadlines.
- High degree of computer literacy for case management systems.
- Valid driver’s license preferred.
PREFERRED REQUIREMENTS:
- Experience in law office or public service setting.
- Spanish fluency is preferred but not required.
SUPERVISORY RESPONSIBILITIES:
- None
PHYSICAL DEMANDS/WORK ENVIRONMENT:
- Work is performed in a normal office environment.
- Requires frequent sitting, keyboarding, and face-to-face or phone communication.
- Occasional standing, walking, reaching, and lifting up to 15 lbs.
- May require walking several blocks or overnight travel.
COMPENSATION, BENEFITS AND WORK LOCATION:
ABLE is committed to providing an equitable work environment, including a commitment to pay equity. The annual salary range for this position is $40,500 to $50,014 depending on experience. ABLE offers comprehensive fringe benefits, including health insurance, annual leave, sick leave, supplemental language compensation and paid parental leave. This position will be based out of Dayton.
