We’re looking for a detail-oriented, proactive and tech-savvy Legal Assistant / Legal Secretary who thrives on precision, structure and proactive support. This role is critical to keeping the Legal team organised, responsive and well-coordinated by managing internal workflows, documentation, team calendars and legal tools. This role will be at the heart of our global Legal team — keeping documentation clean, redlines crisp and workflows moving across time zones.
Please mote this is a hybrid position for candidates based in Johannesburg, with 2 days per week in our Johannesburg office.
Key Responsibilities:
- Monitor and manage the Legal team’s pipeline, ensuring tasks are triaged, assigned and tracked to resolution.
- Anticipate team needs and implement systems to prevent administrative bottlenecks or information loss.
- Track incoming legal requests from cross-functional teams, follow up as needed and maintain visibility on progress and bottlenecks.
- Format, proofread and prepare standard legal documents to a high standard.
- Coordinate document execution via DocuSign, ensuring proper signatory routing, follow-up and archiving.
- Maintain digital records of signed contracts and legal documents in clearly structured repositories with consistent naming and access controls.
- Review and finalise redlines and mark-ups with high attention to formatting, consistency and version control.
- Maintain version histories and audit trails for all contracts and legal files.

- Ensure documents are client-ready, properly styled and free of formatting inconsistencies or metadata issues.
- Coordinating and minuting weekly team meetings and monthly meetings with other teams.
- Maintain team shared mailboxes and calendars.
- Send meeting invites, prepare agendas and track follow-ups or action items from team discussions.
- Assist in onboarding new team members with access to legal tools, calendars and shared resources.
- Serve as the first point of contact for troubleshooting Legal tools.
- Support the setup of new workflows, templates or folders under the direction of the Legal team leads.
- Coordinate access and permissions to legal document repositories to ensure confidentiality and efficiency.
- Handle sensitive legal and commercial documents with strict confidentiality and discretion.
- Identify recurring legal administration issues and propose improvements.
What it takes to succeed:
- Minimum 3 years’ experience in a legal assistant, legal secretary or legal ops support role.
- Excellent organisational skills, with the ability to manage multiple priorities across a distributed team.
- Comfortable working independently, yet collaborative in nature — someone who thrives on enabling others to move faster with confidence.
- Calm under pressure, with a flexible, service-minded approach to shifting priorities.
- Basic understanding of legal terminology, contracts and documentation.
- Strong attention to detail, particularly with written documents, versioning and formatting.
- Clear communicator, both written and verbal, with a proactive and collaborative working style.
- Tech-savvy with demonstrated experience especially using word, pipeline/project tools, DocuSign and SharePoint.
- Familiarity with legal team workflows in fintech, payments, or high-growth technology environments.
- Experience working with legal templates, contract repositories or intake pipelines.
- Prior exposure to sprint or agile-style team operations.
Education & Experience:
- At least 3 years’ experience in a similar role with references.
- Additional secretarial or legal admin training preferred.
- Certificate, diploma or degree in Legal Studies, Paralegal Studies, Business Administration or a related field is advantageous.
