Job Description

General Purpose:

The Trademark Docketing Specialist supports attorneys, specialists, paralegals & other team members in the Trademark group with docketing functions, data entry, updating existing records, tracking and following up on deadlines, reporting and client record onboarding. 

Essential Duties/Responsibilities:

  • Review and process a large volume of e-mail, mailings, correspondence and pleadings related to patent and trademark matters from the United States Patent and Trademark Office, clients, foreign counsel and other foreign trademark/patent offices.
  • Maintenance of docket for trademark attorney’s cases using a web-based docketing system,
  • Scan and save hard/soft copy documents, using the firm naming convention, to the correct client/matter folder and forward them to the correct legal team.
  • Report out document(s) received, and deadline(s) docketed to the responsible parties (attorney/paralegal/IPS/secretary) according to docketing department standards.
  • Prepare and distribute monthly/weekly/final deadline docket reports which reflect upcoming due dates and reminders to each attorney/client team for important prosecution deadlines.
  • Keep a thorough record of all docketed items to resolve any questions that may arise regarding specific deadlines and/or methods used.
  • Coordinates with attorneys regarding law changes and local rules specific to governing calculation of out-of-state docketing deadlines to ensure that all dates docketed are accurate.
  • Assist with other docketing related duties, reports and special projects, as necessary.

Job Qualifications (Education, Experience and Certification): 

  1. Prior Trademark docketing experience strongly preferred.
  2. Knowledge of WebTMS, PATTSY WAVE and/or CompuLaw strongly preferred.
  3. Demonstrates excellent interpersonal, oral and written communication skills.
  4. Prior knowledge of US and foreign trademark prosecution process and understanding of relevant documents strongly preferred.
  5. Experience/ability to interface with USPTO, WIPO, and other websites regarding trademark matters.
  6. Expert ability to prepare accurate, highly detailed work; excellent proofreading skills.
  7. Strong organizational skills and attention to detail.
  8. Requires the ability & soft skills to work effectively with personnel at all levels of seniority within the firm.
  9. Aptitude for understanding a variety of databases and software.

While performing the duties of this position, the employee must have the ability to sit, stand and/or walk for extended periods of time; manipulate (lift, carry, move) weights of at least ten (10) pounds; have repetitive wrist/hand/finger movement to work on a computer and/or related office equipment; speak clearly and concisely so listeners can understand; and regularly understand the speech of another person.

Holland & Hart offers of employment take into consideration a candidate’s education, training, and experience, as well as the position's work location, external market and internal value, including seniority and merit systems, and internal pay alignment when determining the salary level for potential new employees.  Colorado Salary Range - $28.24 - $47.07 per hour.  Washington DC Salary Range - $31.06 - $51.78/hour. A discretionary bonus may be available based upon performance.
