
We’re looking for an experienced Executive Legal Assistant to support our General Counsel and Legal and Compliance leadership team. This role blends high-level executive support with legal operational assistance, from managing calendars and travel, to entity management and coordinating subpoena responses. It’s an ideal opportunity for someone who thrives on variety, handles sensitive information with discretion, and has a desire to expand their skills within a dynamic legal environment.
This is a hybrid role, with mandatory in-office presence two days per week at Hillenbrand’s global headquarters in Batesville, Indiana.
Work You’ll Do:
Administrative & Executive Support
Manage calendars and department scheduling
Coordinate domestic and international travel
Organize and maintain team files, legal records and systems (digital & hard copy)
Support team meetings, presentations, and department communications
Screen, prioritize, and respond to legal department mail, emails, and meeting requests, ensuring urgent matters are flagged and handled appropriately while maintaining confidentiality
Legal & Operational Support
Respond to subpoenas and other legal requests, coordinating with internal teams and counsel as necessary
Maintain corporate entity records and governance documents and assist with filings
Help manage contracts and legal documents, ensuring proper filing and access
Track litigation deadlines, legal holds, and other compliance matters
Perform additional administrative or legal support tasks as assigned
Team:
You will report directly to Hillenbrand’s Senior Vice President, General Counsel & Secretary, and support other Legal and Compliance personnel.
Basic Qualifications:
3+ years of experience in a corporate or legal setting as an Executive Assistant
An A.S. degree or higher; candidates without a degree may still be considered
Proven ability to manage sensitive information with confidence, security, and discretion
The unique skill to anticipate team needs, be proactive, discerning, and intuitive—often addressing requirements before they are explicitly communicated
Flexibility to adapt to changing priorities and diverse tasks within a dynamic team environment
Experience in managing complex travel arrangements, legal systems, and digital files with advanced proficiency in relevant software
Proficiency in using Concur or similar platforms for expense and travel coordination
Strong collaboration skills to work effectively across departments, supporting various colleagues and stakeholders
Preferred Qualifications
Experience supporting attorneys or legal professionals in a law firm, legal department, or litigation setting.
Familiarity with legal case management, document redaction, discovery tools, or legal research.
Familiarity with legal entity management, particularly in a global environment.
Background as a paralegal or legal assistant is highly valued and considered a strong plus.
