Description:
We are seeking an Account Services Representative to join our team. This is an exciting opportunity to work in a dynamic and fast-paced environment and contribute to the growth and success of our firm. This position offers the flexibility to work from home. Periodic in-office presence is required for monthly team meetings, events, and training opportunities. The position can be based in the Firm’s operation center in Brandon, FL (Tampa Bay area) or our Firm’s practicing office in Dallas.
The Account Services Representative will provide accounting and finance services for our clients, attorneys, secretaries, and other Holland & Knight departments. The representative is responsible for providing advanced reports and accounting functions for the purpose of servicing our clients and attorneys. The representative will also answer a wide range of inquiries from the same group in order to maximize efficiency for the Client Accounts and Billing teams, Billing Supervisor, and Client Accounts Manager, with whom they will work directly.
Key Responsibilities Include:
- Generate advanced reports for attorneys, assistants, clients, and other Firm departments.
- Research and respond quickly and efficiently to attorney, assistant, client, and office inquiries.
- Handle all aspects of billing and payment reconciliations, including trust account reconciliations.
- Provide accruals and fee estimates.
- Handle prebill update requests.
- Respond to billing rate requests.
- Verify ebilling status and vendor guidelines information.
- Generate time and cost reports.
- Create ad hoc reports requiring specific data sets and presentation.
- Work with the Revenue Team Financial Analyst, as needed.
- Produce back up for payments and costs.
- Prepare client refunds and trust disbursements requests.
- Investigate and resolve accounts receivable inquiries, as well as monitor department email and phone line ensuring appropriate handling of requests received.
- Communicate with internal and external customers via phone, email, mail, or in person.
- Work weekends and holidays, as needed.
- Special projects and additional duties, as assigned.
- Offer process flow improvement ideas, if applicable.
Qualifications:
- 2 + years of work experience, some law firm accounting experience preferred.
- Strong verbal, mathematical, written, and analytical skills.
- Excellent organization skills and the ability to adapt to changing priorities and work demands.
- Attention to detail and accuracy.
- Strong interpersonal skills with the ability to work well under pressure.
- Excellent communication skills.
- Problem-solving skills and critical thinking abilities.
- Proficient knowledge of accounting functions and computer applications, including Microsoft Excel.
Minimum Education:
- Bachelor’s degree preferred, but may be substituted for relevant work experience.
