BronxWorks seeks a Legal & Compliance Specialist with at least two years of relevant legal experience such as in-house or government practice or practice in employment, corporate, real estate, regulatory or insurance law at a firm. The Legal & Compliance Specialist will report to the Associate General Counsel/Director of Compliance and will assist with a variety of meaningful tasks inherent to the in-house legal department of an award-winning non-profit health and human services agency. The position is currently operating under a hybrid model, with two days from our Bronx, New York office. Additional days in the office may be required, if needed.
RESPONSIBILITIES
Administrative:
Provide administrative support to the legal team, including managing schedules/calendars for the Chief Legal Officer, General Counsel, and Associate General Counsel.
Contracts/Legal:
- Check vendor contracts and certificates of insurance for compliance.
- Assist program teams to complete contract templates & obtain Certificates of Insurance and W9s for contract approval.
- Maintain filing system for contracts & governance documents (board minutes & correspondence, etc.); data entry in contract database.
- Monitor contract, lease, and Certificate of Insurance expiration dates & send communications & alerts; obtain updated Certificates of Insurance annually from approved vendors.
- Where applicable, completes forms and seek funder approval of subcontractors.
- Maintains lists of approved vendors and subcontractors.
- Ensure the preservation of records relevant to potential and pending claims, as instructed.
- Maintain tracker of claims & their status.
- Coordinate response to subpoenas, inclusive of liaising with internal stakeholders and law enforcement.
- Collect information for annual insurance renewal applications, as instructed.
Risk Management/Compliance:
- Reviews all incident reports & prepares daily summary for review by General Counsel and Director of Compliance.
- Prepares and presents monthly Incident Report Training to personnel.
- Conducts in-person program-level risk & compliance audits for each BronxWorks program once or twice annually using existing checklist.
- Assists Director of Compliance with follow-up and implementation of risk mitigation plans, as assigned.
- Sends regular reminders & requests for status on progress with Enterprise Risk Management mitigation plans.
- Prepares reports to communicate risk and compliance activities, as well as status of relevant compliance and risk metrics (e.g., dashboards demonstrating % of personnel in compliance with annual training requirements, or # of incidents resulting in injury).
- Maintains tracker of compliance-related investigations and inquiries, license suspensions, etc.
- Bachelor’s Degree.
- At least 2 years of relevant legal support/administrative experience, such as in non-profit, corporate, law firm, or government practice.
- Excellent oral and written communication skills.
- Must be highly attentive to detail, organized, and highly self-motivated, with ability to prioritize tasks and work efficiently and independently.
- Demonstrated ability to complete activities/projects in a timely manner, on or before scheduled deadlines, with minimal errors.
- Strong interpersonal skills.
- Proficiency in Microsoft Office suite and other standard business technology.
