We are looking for a Legal Administrator to join our Legal & Business Affairs team. 

We are seeking a detail-oriented Legal Administrator to serve as the organizational backbone of our legal department, while also providing administrative support to other corporate departments from time to time. This role focuses on coordination, administration, and implementation of legal processes that allows legal specialists to concentrate on complex legal matters. The ideal candidate will excel at daily administrative tasks, data management, and cross-departmental coordination. 

Key Responsibilities 
Daily Operations Management 
  • Monitor and summarize task intake and distribution across the legal team

  • Calendar and track due dates, deadlines, meetings, and regulatory schedules 

  • Handle document transmittals via various methods (electronic, FedEx, UPS, courier services, USPS) 

  • Collect and file contracts, legal records, and corporate documents including Board-related materials 

  • Extract, calendar, and track important contract provisions, corporate milestones, and key deliverables 

Legal Administration & Coordination 
  • Provide day-to-day legal administrative support including document preparation, scheduling, calendaring, and project coordination. 

  • Process budgeting matters including vendor invoices, purchase orders, and expense reports. 

  • Monitor legal inboxes and physical mail for time-sensitive notices and communications. 

  • Assist in the drafting and preliminary review of vendor and license agreements, flagging key issues for legal counsel. 

Meeting & Communication Support 
  • Provide meeting support including scheduling, note-taking, minute preparation, and follow-up coordination. 

  • Assist with preparation of internal communications, email notifications, and presentations 

  • Coordinate communications with regulatory agencies and external authorities 

Cross-Department Liaison 
  • Manage legal team initiatives and coordinate with other company departments 

  • Serve as primary liaison for task coordination, assignment, and specification between legal and other teams 

  • Support special legal projects and ad hoc assignments as  

Database & Records Management 
  • Administer, update, and maintain internal legal databases and cloud-based systems, including contract repositories, legal matters, corporate budgets, insurance policies, and company books. 

  • Manage contract repository, corporate books and records, and intellectual property portfolio 

  • Maintain corporate insurance profile and related documentation 

  • Ensure compliance with document retention policies and procedures

 

Potential Development Opportunities   

Depending on business needs and the candidate’s development interests, this role may could expand to include: 

Intellectual Property Support  
  • Prepare and process copyright applications under counsel supervision 

  • Research and report on unauthorized use of company brands, trademarks, and intellectual property 

  • Assist with DMCA and other IP enforcement actions as directed 

  • Conduct research and collect materials for trademark and copyright registrations and clearances 

Publishing & Compliance Activities 
  • Research customer disputes and assist with resolution proceedings 

  • Support compliance and clearance reviews of narrative and marketing materials 

  • Assist with regulatory compliance matters and reporting requirements 

Essential Skills and Experience 

Proficiency in Microsoft Office Suite, Google Workspace, and standard software systems  

Experience with database management and cloud-based document systems 

  • Strong organizational skills with ability to manage multiple priorities and deadlines 

  • Excellent written and verbal communication skills 

  • High attention to detail and accuracy in document preparation 

  • Ability to handle confidential information with discretion 

  • Experience with contract administration and filing systems

Preferred Qualifications 

(not required but beneficial) 

  • Associate's degree or equivalent combination of education and experience 

  • 4 years+ of administrative experience, preferably in a legal or corporate environment 

  • Proficiency in standard legal software systems (e.g., contract databases, DocuSign)  

  • Familiarity with intellectual property processes and terminology 

  • Previous experience in entertainment, gaming, or technology industries
