Job Description

SUMMARY: 


The Legal Administrator provides administrative and clerical support to the attorneys and paralegals within the Legal Department. This entry-level position is responsible for managing documents, correspondence, and file organization to support the department's day-to-day operations. This is an ideal role for someone looking to build a foundation for a career in the legal field.

ESSENTIAL DUTIES & RESPONSIBILITIES:


-    Organize, label, and maintain physical and electronic legal files in accordance with company recordkeeping standards

-    Upload, save, and organize documents to company platforms and internal databases, ensuring accuracy and correct file naming/version control

-    Monitor and a shared or departmental email inbox, including sorting, flagging, forwarding, and responding to routine correspondence

-    Scan, copy, print, and distribute documents as needed

-    Prepare and assemble document packets, exhibits, or binders for internal or external use

-    Retrieve and compile documents in response to internal requests (e.g., for appeals, audits, or document production)

-    Maintain confidentiality of sensitive legal and business information

-    Coordinate with other departments to obtain or deliver documents and information

-    Support special projects and other duties as assigned by attorneys or paralegals


QUALIFICATIONS:    


-    High school diploma or equivalent (GED) required

-    Basic computer proficiency, including familiarity with Microsoft Office Suite (Word, Excel, Outlook) or equivalent software

-    Ability to learn and navigate company-specific software platforms and document management systems

-    Strong organizational skills with attention to detail and accuracy

-    Ability to manage multiple tasks and prioritize competing deadlines

-    Strong written and verbal communication skills

-    Ability to maintain confidentiality and exercise sound judgment when handling sensitive information

-    Reliable, punctual, and able to work independently with minimal supervision

-    Prior office, administrative, or customer service experience preferred but not required

-    Prior exposure to a legal or healthcare environment is a plus, but not required
