Job Description:

As the Legal and Compliance Specialist you will serve as a hybrid paralegal and regulatory compliance specialist, supporting legal operations and compliance operations for an insurance services provider. The position is responsible for managing subpoena requests, maintaining licensing compliance, and supporting legal and compliance team infrastructure through docketing, issue tracking, and document management. The role requires strong organizational skills, attention to detail, and the ability to manage multiple deadlines across jurisdictions.

Work Arrangement:

  • Employees who live within 30 miles of the TMG home office are expected to follow a hybrid or in-office schedule. The initial training period may require additional in‑office days.

Accountabilities:

Paralegal & Legal Operations Support

  • Own the intake, logging, tracking, and response coordination for subpoenas and other legal requests

  • Perform docketing and calendar management for legal and regulatory deadlines

  • Administer legal hols, including issuing legal hold notices, tracking acknowledgments, and coordinating with internal stakeholders to ensure preservation of relevant documents and data

  • Support legal team members with document preparation and matter tracking

  • Maintain organized and auditable records of legal and regulatory matters

Licensing & Regulatory Compliance

  • Track and maintain corporate entity licenses, registrations, and appointments across jurisdictions

  • Manage individual producer and adjuster licensing for clients

  • Coordinate with third-party licensing vendors and monitor performance against service expectations

  • Maintain visibility into upcoming renewal deadlines and ensure timely filings

Document & Knowledge Management

  • Oversee and maintain the legal/compliance SharePoint site and document repositories

  • Ensure documents are properly stored, version-controlled, and accessible

  • Continuously improve document management processes and organization

Docketing, Issue Tracking & Administrative Support

  • Maintain and update compliance calendars and legal tracking systems

  • Track open issues and requests

  • Provide general administrative and operational support to the legal/compliance team

  • Identify opportunities to streamline workflows and improve tracking/reporting

Qualifications:

  • 2+ years of experience in a paralegal, legal operations, compliance, or regulatory role

  • Experience in insurance or financial services strongly preferred

  • Familiarity with subpoena processing, licensing, or regulatory filings is highly desirable

  • Strong organizational, time management, and multitasking skills

  • High attention to detail and accuracy

  • Proficiency with Microsoft Office and document management systems (e.g., SharePoint)

  • Ability to communicate effectively with internal teams, external counsel, and regulators

Work Environment & Requirements

  • Regular use of a computer and standard office equipment

  • Frequent written and verbal communication

  • Ability to manage multiple priorities and deadlines in a fast-paced environment

Pay Range:

Anticipated Hiring Range:

  • $57,000 - $85,000 annual base salary depending on experience, qualifications, and geographic location
