Legal Assistant + Office Coordinator
DeWitt's Mequon office seeks a full-time legal assistant + office coordinator to support a busy Trusts and Estates Lawyer. Ideal candidates for this position will have prior law firm experience, an outgoing personality, and the ability to interact with clients in a positive, professional manner. This is a fun position for someone who can work independently and has strong communication skills.

Key Responsibilities:

  • Prepare, proofread, format, revise, and manage legal correspondence and documents using our document management system.
  • Handle document reproduction tasks, including printing, scanning, copying, and maintaining client files.
  • Support client billing processes, including time entry, proofreading, and sending invoices.
  • Communicate with clients and team members via email and regular mail to resolve questions and coordinate information.
  • Provide administrative support to one attorney, including scheduling and expense reporting.
  • Conduct conflict checks and open new client/matter files in the time and billing system.
  • Assist with client invoicing tasks, including expense management and disseminating invoices to clients.
  • Function as the reception and office coordinator by answering phones, greeting clients, managing office supplies, and facilities needs.


Qualifications
Qualifications and Education Requirements
  • Education: Associate degree, High School Diploma, GED Equivalent, or industry-specific certifications.
Required Skills
  • Organization and Multitasking: Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Attention to Detail: Ensuring precision in proofreading documents, filing, and meeting deadlines.
  • Communication Skills: Strong written and verbal communication skills for interacting with attorneys, clients, and external parties.
  • Legal Knowledge: Familiarity with legal terminology, court systems, and document requirements.
  • Technical Proficiency: Proficiency in using Microsoft Office Suite, legal tools (e.g., case management systems, e-filing platforms, document management systems), and office equipment.
  • Professionalism: Maintain discretion and confidentiality when dealing with sensitive client and case information.
  • Problem-Solving: Ability to anticipate attorneys’ needs and proactively address issues.
