This position performs a variety of administrative support duties and delivers high-quality services to internal and external clients, exhibiting commitment to integrity and excellence. The position requires thorough knowledge of all firm and practice specific administrative processes and procedures, information technology systems, research tools and a broad-based understanding of the clients, matters and associated practices. The scope of responsibilities includes prioritizing, managing and following through on multiple projects, and communicating effectively and professionally with clients, attorneys, staff and peers. Responsibilities:
- Prepares, reviews and edits a wide range of legal documents and correspondence of a confidential nature, transcribing dictation as needed, ensuring high quality, accuracy and comprehensiveness.
- Prepares and reviews estate planning documents: Wills, Trusts, Powers of Attorney (Health Care and Property), Living Will, Insurance Trusts, Grantor Retained Annuity Trusts, etc.
- Maintain trust/estate financial records
- Creates and maintains a filing system; opens and closes files in a timely fashion.
- Processes client intake forms.
- Manages mail, e-mail, faxes and phone calls in a confidential, organized and efficient manner.
- Arranges meetings, coordinates travel arrangements and schedules appointments.
- Prepares attorney expense claims and closes transactions.
- Acts as a liaison between assigned lawyer(s) and clients, as well as internal departments and external affiliates including financial institutions, municipal and government departments as requested.
- Other related and administrative duties as assigned.
Required Skills:
- Prior experience in a T&E Department
- Detail-oriented and highly organized
- Excellent verbal and written communication skills and professional demeanor
- Strong knowledge of Microsoft Office, including Word, Excel, and Outlook
- Ability to work independently, manage large workloads, and keep deadlines
- Take a proactive approach to being team oriented.
