What This Role Will Do

 

We are seeking a detail-oriented and highly organized Legal & Executive Assistant to provide comprehensive support to senior staff and expert witnesses involved in litigation, as well as assist with the administrative functions of the office. This role combines legal administrative tasks, executive support, and office management responsibilities, requiring strong multitasking skills, discretion, and professionalism.

 

Key Responsibilities

Legal & Administrative Support:

  • Provide administrative support to senior staff, including managing client communications and coordinating schedules.
  • Manage senior staff calendars to ensure deadlines are met. 
  • Coordinate meetings and maintain regular communication with clients. 
  • Proofread and assist with engagement letters and report writing with a strong focus on detail and accuracy.
  • Conduct basic legal research and compile case summaries. 
  • Maintain senior staff calendars and track important project deadlines. 
  • Manage office supplies and ensure the smooth operation of office 

Executive Management:

  • Prepare meeting agendas for senior staff members, take notes, and handle follow-ups.
  • Prepare weekly calendar and to do lists to assist senior staff member/expert witness in staying on track of projects and client communications.
  • Handle correspondence, emails, and client/referral follow-ups in a professional and timely manner.
  • Maintain accurate and up-to-date client contact information to support project success.
  • Assist senior staff management filing of documents, and record management. 

Data & Records Management:

  • Maintain accurate and organized digital and physical records for projects and client records.
  • Manage document filing, retrieval, and archiving processes. 
  • Ensure compliance with data privacy and confidentiality policies.

What Makes You Successful in This Role

  • 1-5 years of experience in legal assistance, executive/administrative support, or office management preferred.
  • Strong organizational and multitasking abilities.
  • Strong proofreading skills. 
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite, Outlook, Word, Excel, and PowerPoint. 
  • Ability to handle confidential information with discretion.
  • Bachelor’s degree or Associate’s Degree in Legal Studies, Paralegal Studies, Business Administration, or related field preferred. 
  • Paralegal certification is a plus.
