
Masuda Funai is seeking Billing Coordinator to assist with various billing-related duties, including preparing and finalizing client bills, processing various billing adjustments, and reviewing and editing proformas in response to attorney revisions.
Responsibilities
- Generate and distribute proformas monthly on the first business day of the month, and periodically throughout the month as requested
- Review and edit proformas in response to attorney revisions
- Generate invoices, review for accuracy and compliance with client billing guidelines and firm policies
- Distribute final invoices to clients, including following up on past due balances
- Generate and submit e-billing statements
- Apply retainer funds as directed by attorney and follow-up on any issues
- Process write-offs in accordance with firm policy, notifying Controller prior to writing off amounts over $1k or out of the ordinary
- Review and verify accuracy of billing and supporting documentation, as required
- Research and respond to inquiries regarding billing issues and problems
- Create and maintain billing schedules and other billing analyses, as required
- Assist with A/R and WIP follow-up as required; follow up with billing attorneys on proformas not returned
- Assist in preparing documentation and response for legal inquiries re: litigation and court appearances
- Maintain client statement and trust files
- Assist with special projects, as needed, for billing attorney or management
- Provide coverage for other team members, including Accounts Payable/Receivable
- Attend department and firm meetings
- Serve as back-up to team members, as needed
Qualifications
- High school diploma
- 5 years of billing experience, preferably at a law firm or professional services firm
- Strong computer skills, including proficiency in Microsoft Word and Excel, as well as time and billing software
- General knowledge of accounting principles and internal control concepts
- Strong verbal and written communication skills
- Ability to execute complex bills in a timely manner (flat fees, multiple discounts by matter, insurance billing, split-party billing, electronic bills)
- Ability to handle a high volume of bills each month and ensure timely solutions to billing application issues
- Ability to learn new software
- Customer-service oriented with a professional, diplomatic, and resilient demeanor and the ability to effectively interact and communicate with attorneys, secretaries, managers, and clients
- Excellent attention to detail and strong organizational skills
- Ability to prioritize and meet deadlines in a fast-paced environment is essential
- Ability to work independently and collaboratively in a fast-paced environment
Preferred Qualifications:
- Associate’s or bachelor’s degree
- Experience with Elite 3E
